Job Summary: WE are currently seeking a full-time Payroll Specialist/Administrative Support Associate ready for a challenging and rewarding career with our fast-growing firm. The successful candidate will work in a highly collaborative and dynamic team environment that encourages continuous learning, improvement, and cross-training.

Responsibilities and Duties: Payroll Processing:

  • Process multiple client and employee payrolls throughout the United States according to their unique schedules.
  • Process payroll transactions accurately for time, earnings, benefits, deductions, taxes, and garnishments.
  • Coordinate year-end processes to ensure timely preparation and delivery of W2’s.
  • Resolve inquiries concerning account status and discrepancies, communicating resolutions to the appropriate parties.
  • Prepare garnishment checks per payroll reports and serve as a backup to the benefits manager as needed.
  • Ensure compliance with federal, state, and local payroll laws and best practices.
  • Partner effectively with client stakeholders to process changes to individual pay cycles.
  • Verify and audit employee changes submitted in HRIS promptly and accurately.
  • Investigate and resolve payroll issues and problems efficiently.
  • Coordinate annual audit preparation as requested/required by individual clients.

Additional Administrative Responsibilities:

  • Assist with monitoring commercial insurance renewals and requesting certificates of insurance documents.
  • Assist with compliance reports for various professional certifications and licenses.

Qualifications:

  • High school diploma.
  • 5-7 years of related experience, preferably in a multi-client or large multi-location company environment.
  • In-depth experience with a payroll system within an HRIS.
  • Multi-state payroll experience is a plus.
  • Ability to work a Hybrid schedule.

Preferred Qualifications:

  • Bachelor’s degree in accounting, Finance, or related degree.
  • Experience with KRONOS/UKG and ADP.

Additional Requirements:

  • Must pass a criminal background check.
  • Must be authorized to work in the US for any employer.
  • Must live in the Chicagoland area.
