Role Overview

The Client Administrator supports a team of Client Officers with providing exceptional client services. Professionalism, organization, responsiveness, an understanding of the financial industry and a client focus mentality are critical. The position will assist with day-to-day functions of the Client Officers that may involve responding to client requests, initiating financial or account related transactions, maintaining client records, managing short term projects or any other requirements of the Client Officer.


Responsibilities

  • Provide day to day administrative support to a team of Client Officers by executing various tasks related to servicing client accounts, communicating with a variety of stakeholders and managing ad hoc projects. Assist with onboarding new relationships, maintaining and growing existing relationships and closing down exiting relationships.
  • Under the direction of the Client Services Director, assist with the management and execution of a variety of projects, many of which will require working collaboratively with other team members of Ropes Wealth Advisors in the preparation of documents; the management of processes; and audit/reconciliation associated with the progression conclusion of projects.
  • Perform other duties as assigned and related to the successful delivery of service to RWA Colleagues, Trustees, clients, account owners and beneficiaries.
  • Participate in the cash management process related to client accounts. This includes monitoring low cash balances, overdrafts, review of cash availability for requests and preparing schedules of expenses.
  • Prepare necessary documentation and utilize internal systems to process client requests including account opening, account closing, bill payments and account maintenance.
  • Participate in the department’s periodic review and audits of accounts. Regularly use tools available to assess red flags and high risk situations.
  • Create and maintain tools to track or record recurring tasks and events. Take the lead on certain projects that require monthly or quarterly updates in the tool and report to the Client Officer or client directly.
  • Assist Client Officers with the administration of client accounts. Where needed, assist with clerical, administrative and accounting matters, including fielding routine inquiries from Portfolio Managers, Trustees and clients whenever possible.
  • Perform tasks to assist with managing the online client portal for RWA clients. Answer phone calls and emails from external clients that require assistance. Troubleshoot technical difficulties and assist with the maintenance of a client’s online access. Set up new online users and turn off exiting client’s access.
  • As requested, prepare documentation for client requests that may include letters, forms, emails and other account related material. Assist with client related mailings as needed.
  • Assist with document retention and information storage in order to conform to firm and regulatory policies. Ensure account and client information is kept secure as well as easily accessible to the pertinent parties by following internal policies and procedures.
  • Provide client service and interact effectively with internal parties to include administrators, trustees, legal assistants, tax personnel, Portfolio Managers and others.
  • Assist in preparation of documents and reports for client meetings.


Education, Experience and Qualifications

  • Excellent written and verbal communication and presentation skills. Ability to represent the firm to clients, beneficiaries, outside advisors in a professional, effective and timely manner
  • Good problem solving skills and attention to detail. Problems are technically or administratively varied and require the collection, interpretation and analysis of data from diverse sources.
  • Excellent Excel skills
  • Familiarity with SalesForce (or other client relationship management software)
  • Familiarity with a brokerage system similar to Fidelity Investments and/or a trust accounting system similar to SEI Private Trust Company are a plus
  • Basic understanding of investments, the various markets and tools used in wealth management
  • Ability to handle multiple tasks in a fast paced environment, and to establish priorities and complete assignments within frequently limited timeframes
  • Be a proactive, self-starter, who understands the details within a much larger context
  • Formulate and present a plan of action consistent with department guidelines to resolve issues within scope of job
  • Maintain confidentiality
  • Expertise with software applications (i.e. Microsoft Office) in general and, in particular, computerized trust accounting systems, with an emphasis on Excel
  • A Bachelors’ Degree with one-two years of related work experience is preferred


Compensation

The anticipated base salary range for this position is $70,000.00 - $85,000.00. Final base compensation will be carefully determined based on several factors including relevant knowledge, skillset, and experience. Additionally, this role may be eligible for other forms of compensation and benefits, such as discretionary bonus, health, dental, and vision plans, and employer 401(k) contributions.
