Position Overview: The person in this position will be a public face of the Company to the travel agents, executive assistants, and talent handlers who entrust their clients to the Company.

In handling requests for clients, travel arrangers, transportation companies, airport staff, and government officials, incumbent must support and enhance the Company's reputation for meticulous attention to detail, unfailing discretion, and rock-solid integrity.

The incumbent must have, and further develop, an intuitive understanding of the unique and detailed qualities and needs of each client and be able to translate that understanding into the choice of, and the instructions to, the Company agent who will provide the service.

Essential Duties:

The Travel Logistics and Operations Coordinator will assist the Company with a variety of clerical, administrative, and managerial tasks including, but not limited to:

  • Receiving client requests by email and phone, and maintaining a log of all communications and transactions
  • Selecting and assigning agents for concierge jobs accepted by the Company
  • Maintaining a calendar of upcoming meetings and a schedule of assignments for agents
  • Organizing meetings
  • Composing letters, presentations, and reports to clients and vendors
  • Maintaining files, both computer-based and paper
  • Implementing and maintaining procedures/administrative systems
  • Liaising with staff, suppliers, clients, and third party agents
  • Research vendors, services needed, and potential partnerships
  • Ability to maintain a flexible schedule to manage agents across multiple time zones
  • Other duties as assigned

Physical Requirements:

Sensory: Frequently required to read documents, written reports, and plans. Must be able to answer the phone, interact with clients and staff. Must be able to speak clearly and understand/be understood using the English language.

Cognitive: Frequently required to understand and relate to specific ideas, several at a time. Must be able to remember multiple tasks/assignments given to self and others over a period of several days.

Equipment: Frequently required to use a computer, phone, and other relevant technology.

Job Type: Full-time

Pay: $60,000.00 - $65,000.00 per year
