The Florida Fruit & Vegetable Association is the state’s leading full-service specialty crop organization, serving Florida’s grower-shipper community since 1943. The Assistant to President/Meeting & Event Manager will provide or arrange for administrative and clerical support for the President of FFVA, and plan and execute the Association's meetings and events.

ESSENTIAL FUNCTIONS:

1. Provide or arrange for support for the President and other executives of the organization; maintain calendars, make travel arrangements, and respond to telephone calls. Prepare and distribute correspondence including letters, notices, and minutes directed to members, legislators, Board members, and others.
2. Manage event and meeting planning functions. Negotiate contracts with venues, hotels, food and beverage providers, transportation providers, and others to fulfill meeting or event requirements. Make travel and lodging arrangements for attendees. Create and distribute meeting notices. Review related invoices and authorize payment.
3. Facilitate the planning and implementation of the Board of Directors meetings. Plan for accommodations, transportation and other services as required for attendees. Create and package minutes and other documentation in preparation of the BOD meetings. Maintain historical files of BOD members and meeting minutes.
4. Provide support as a planning committee member to coordinate and implement the organization’s Annual Convention. Plan and prepare for business meetings and seminars during Convention.
5. Maintain the Association’s master calendar of BOD and committee meetings.
6. Update and manage the FFVA membership directory in coordination with the director of communications.

OTHER DUTIES:

1. Attend and participate in a variety of meetings and task force groups as directed and maintain required level of knowledge pertaining to operating procedures, requirements, processes, and policies.
2. Lead and/or participate in projects or task force groups which focus on issues which have organization wide impact.
3. Perform or assist with any assignments as required or directed.
