The Site Manager oversees all activities at the site, including personnel, production, and logistics. They ensure customer satisfaction and uninterrupted company operations. Responsibilities include directing staff, optimizing work processes, assigning duties, reviewing customer requirements, monitoring production metrics, staying updated on industry trends, supporting customer services, and managing IT operations. Key attributes for this role include high energy, excellent communication and time management skills, strong people skills, and a professional understanding of operations management.

General Duties & Responsibilities

  • Oversee all aspects of the mailing commingle process, including sorting, bundling, and preparation for postage discounts.
  • Ensure compliance with USPS regulations and industry standards throughout the mailing process.
  • Continuously evaluate and improve processes to maximize efficiency and reduce costs while maintaining quality standards.
  • Provide leadership and guidance to the site team, including training, performance management, and fostering a culture of continuous improvement.
  • Establish and implement policies, goals, objectives and procedures for the efficient operation of mail processing.
  • Implement quality control measures to ensure accurate sorting, labelling, and processing of mail.
  • Supervise employees and production in a manner to ensure a safe operating environment at all times.
  • Manage inventory levels of mailing supplies and equipment to support uninterrupted operations.
  • Develop and monitor performance data to measure productivity and goal achievement and determine areas needing cost reduction and program improvement.
  • Determine staffing requirements, prepare position descriptions and job postings, interview, hire and train new employees, or oversee personnel processes.
  • Monitor production activities to ensure that they are efficiently and effectively providing mailing services while staying within budgetary limits and contracted pricing.
  • Serve as the primary point of contact for client communication regarding mailing projects, timelines, and requirements.
  • Provide orientation and training on mail service functions performed and the advantages of our services.
  • Assist in developing and managing the site budget, including cost analysis, forecasting, and expense control.
  • Perform all additional duties as required
  • High school or GED is required.
  • Bachelor's degree in Business Administration, Logistics, or a related field preferred.
  • Proven experience in supervising production and employees
  • Valid Driver’s License and the ability to travel in local territory
  • Ability to work well under pressure and meet deadlines in a fast-paced environment
  • Proven leadership experience, with the ability to motivate and develop a team.
  • Proficiency in Microsoft Office suite and mailing software such as BCC Mail Manager, PostalOne!, and other industry-standard platforms (e.g., AccuZIP, Satori Software, Pitney Bowes SendSuite Live).
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • Excellent communication skills, both written and verbal, with a strong ability to empathize and communicate clearly with customers and vendors
  • Ability to be dependable, reliable and work independently
  • Strong organizational and multitasking abilities, with attention to detail
  • Excellent presentation, organization, verbal and written communication

Physical Demands

While performing the duties of this job, the employee is regularly required to walk; sit; use hands to, handle, or feel; and talk or hear. The employee frequently is required to stand. The employee is occasionally required to reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus.
