The West Chester University Foundation is currently looking for an Assistant Director of Events and Communications to join our team.The Assistant Director of Events and Communications, reporting to the Director of Events and Communications will work collaboratively to market and plan events for alumni, donors and other constituents. As part of a centralized department, the Assistant Director will coordinate marketing and event outreach, and event logistics for both large and small events. The position provides support in the planning of events that will strengthen constituents’ relationship with West Chester University.

Essential Job Functions:

Special Events:

  • Assist the Director of Events and Communications in planning and executing a diverse range of events tailored to cultivate and steward relationships with donors and VIPs. Events will include donor dinners, football tailgates, watch parties, and additional gatherings as directed by senior leadership.
  • Serve as the point of contact for space rental requests (WCU and external rentals) at the Foundation. This includes:
    • Managing all requests and corresponding with potential renters.
    • Maintain calendar of all space rentals.
    • Coordinate the set-up of spaces for confirmed rentals.
    • Preparing contracts and other paperwork for renters.
    • Coordinating other needs for spaces, including, but not limited to AV needs; security; cleaning; etc.
  • Provide assistance to events for registration and check-in preparation including the creation of name tags, printing registration lists, securing cash boxes and card swipers, etc.

Digital Marketing:

  • Lead the development, execution, and evaluation of an integrated social media strategy for both the West Chester University Foundation and the West Chester University Alumni Association platforms, aimed at enhancing visibility, showcasing alumni achievements, and advancing key initiatives, including signature events.
    • Track all social media engagement for CASE Alumni Engagement Metrics.
  • Working closely with the Assistant Director, Marketing and Communications, update both the Foundation and the Alumni Association websites. This includes:
    • Updating events on a regular basis;
    • Updating content, per the Assistant Director, Marketing and Communications;
    • Reporting website functionality issues to the Assistant Director, Marketing and Communications.

Operations:

  • Manage and oversee university and foundation requests regarding event and communication support, ensuring prompt delivery and satisfaction through project management, with assistance from the Director of Events and Communications.
  • Working closely with the Assistant Director, Events, to create event registration pages and process free event registrations within the database. This includes:
    • Working with internal and external partners on the content and logistics of event registration requirements
    • Updating pages, per the Assistant Director, Events;
    • Reporting functionality and processing issues to the Assistant Director, Events, and or Advancement Services Coordinator.
  • Work closely with members of the Advancement Services Department on database, gift processing and event registration requests. Ensure compliance with Advancement Services processes and requirements.
  • Other projects may be added at manager’s discretion.

Job Requirements/Qualifications:

  • Bachelor’s degree required.
  • Minimum of two years of experience in events and communications, preferably in a higher education/nonprofit setting.
  • Availability to work evenings and weekends for scheduled events throughout the year required.
  • Strong social media experience required. Hands-on experience in managing social media platforms such as Facebook, Instagram, LinkedIn, etc.
  • Demonstrated experience in coordinating and executing events through managing event logistics, vendor coordination, budgeting, and attendee engagement is highly desirable.
  • Ability to multitask, problem-solve, and maintain attention to detail in a fast-paced environment is essential for success in this role.
  • Experience with database management. Ability to complete data entry accurately to ensure database integrity.
  • Ability to develop and implement effective social media strategies to achieve organizational goals.
  • Strong interpersonal skills and ability to build relationships with various constituencies.
  • Position requires demonstrated poise, tact, and diplomacy.
  • Excellent organizational skills with attention to detail.
  • Ability to prioritize workload. Skill set includes ability to keep workflow moving as it relates to
  • colleagues.
  • Ability to manage multiple projects simultaneously.
  • Computer skills must include proficiency in Microsoft Office (Outlook, Word, Excel, Teams, PowerPoint).
  • Knowledge of West Chester University and its mission.
  • Willingness and ability to travel.
  • Must possess and maintain a valid driver’s license.

Typical Work Conditions:

  • Work is performed in an office and/or remote environment (40%) based on manager discretion.
  • May work additional hours as needed.
  • This position requires evening and weekend work.
  • Ability to travel throughout the US.
  • Use of personal devices (cell phone, personal computer, etc.) may be necessary on occasion to maintain business operations.

Typical Physical Demands:

  • Regular use of hands to manipulate office tools and equipment, phones and computer keyboard.
  • May lift and move office supplies up to 20 pounds.
  • May stand, reach with hands and arms, stoop, and squat to file.
  • May require long periods of sitting or standing (car/plane travel, events).
  • See to read a variety of materials.
  • Hear and speak to exchange information.

We are pleased to offer a competitive salary of $50,000 - $55,000/year commensurate with experience and ability and includes full benefit package such as paid time off, medical, dental and life insurance, and 9.29% employer contribution to retirement plan.
