Job/Position Description

PROGRAM: Barrett Foundation

Administration

POSITION: Billing and Grants Manager

REPORTS TO: Executive Director

DIRECT REPORTS: None

CLASSIFICATION: ☐ Salaried/Non-Exempt

☒ Hourly/Exempt (30 hours)

SALARY: $45,000-$50,000

GENERAL RESPONSIBILITIES:

The Billing and Grants Manager is responsible for budget preparation, grants management and accounting services as it relates to the Barrett Foundation’s government contracts and restricted charitable grants.

RESPONSIBILITIES:

  • Managing and supporting grants implementation and requirements for the organization
  • Identify and develop strategies to optimize the grants administration process
  • Oversee if the grants are implemented according to the operational and financial needs of the organization.
  • Keep the relevant staff informed about upcoming deadlines and deliverables, thereby ensuring smooth completion of work responsibilities.
  • Oversee the job of invoicing, accounting, reporting, and other administrative functions to ensure successful execution of grant process.
  • Prepare financial or budget plans and allocation along with the planning and finance department in accordance with each requirement.
  • Provide detailed reports to the funders and the board of directors with respect to the organization's progress.
  • Monitor paperwork and other related documents connected with grant-funded and restricted charitable gift programs.
  • Maintain records of all payments and receivables and prepare monthly records for all grant- related activities.
  • Provide training for the new staff on the financial portion of grants management and reporting requirements.h
  • Other duties as assigned.

KNOWLEDGE AND SKILL REQUIREMENTS

  • Knowledge of finance, accounting, budgeting, and cost control principles including

Generally Accepted Accounting Principles.

  • Knowledge of federal, state and local governments laws and regulations regarding grant agreements and administration, including tax laws on charitable contributions.
  • Bachelor’s Degree in or equivalent experience in a field related to the nonprofit sector.
  • Three to five years’ experience overseeing government contracts.
