Procurement Manager Job Description

Position Status: Exempt Full Time

Reports to: Sr. Manager, Operations

Brief Summary

This position will be responsible for managing the vendor network within their assigned territory. This includes all activities associated with ensuring that RSM maintains a vendor network sufficient to meet all client work orders. This includes vendor search (proactive and reactive), onboarding, compliance, and management. The Procurement Manager will work closely with senior managers to assist standard day-to-day activities. In addition, this position will be an integral part of the vendor management team to help develop an efficient, economical, and skilled vendor base.

Essential Responsibilities

  • Manage daily responsibilities of the procurement coordinators and assistant.
  • Ongoing training and development of team.
  • Delegate workload based on geographical area.
  • Monitor sourcing requests (emergency, proactive, rollouts, projects, new awards, etc.)
  • Manage vendor auto assignments.
  • Assist in resolving work order escalation.
  • Negotiate rates with service providers to ensure proper margins are kept.
  • Review and qualify existing vendors to ensure minimum requirements for insurance, rates and overall service are up to RSM standards.
  • Ensure vendors have proper documentation loaded in their profile (COI, W-9, contract, etc.).
  • Research all aging reports received by vendors to ensure payments are sent out correctly.
  • Oversee activation requests using the guidelines set in the S.O.P.
  • Deliver exceptional customer service to vendors and internal partners by communicating clearly and effectively.
  • Active involvement in proactively and reactively procuring new vendors.
  • Development of new vendor partnerships and the strengthening of existing partnerships.

Required Education and Experience

  • Minimum 3 years of experience within a facilities department, procurement department, or vendor management department within the national retail/commercial industry.
  • Thorough knowledge of all general trades involved in maintenance and repair work.
  • Full knowledge of Microsoft office programs, specifically Excel.

Supervisory Responsibility

This role is a supervisory position. The Procurement Manager will be responsible for supervising and guiding the team.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. This job is in an open office space environment with considerable background noise and disturbances.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and listen. This is a largely sedentary role. This role would require the ability to lift files, open file cabinets and occasionally bend or stand on a stool, as necessary. Other regular physical demands include standing, sitting, walking, stooping, repetitive motion, lifting not more than 15 pounds, reaching, and typing.

Position Type/Expected Hours of Work

This is a full-time position with 40 hours of work minimum. Days and hours of work are the normal business hours from Monday through Friday, 8:30 a.m. to 5:00 p.m. This job involves working after hours and weekends to complete all tasks.

Travel

Travel periodically for training/meetings. Travel to vendor locations for meeting (10% travel).
