Siskiyou Community Health Center is Hiring a Medical Clinic Assistant Manager Near Grants Pass, OR

REPORTS TO: Clinic Manager STATUS: Exempt

POSITION SUMMARY: The Assistant Clinic Manager provides day-to-day front/back office supervision of clinic operations in tandem with the Clinic Manager. They will provide oversight of staff and perform duties necessary to ensure efficient clinic operations. The Clinic Assistant Manager will work with staff to ensure quality of care and efficient patient flow to internal and external customers while following medical clinic protocols.

DUTIES and RESPONSIBILITIES:

· Ensures excellent customer service practices through the clinic, including handling patient grievances, complaints, and provider transfer requests.

· Assists in hiring, training, onboarding and supervising assigned staff, helping them develop performance goals and objectives.

· Complies with appropriate clinic policies related to infection control, safety, HIPAA, and all other applicable regulations. Reports safety issues, accidents and incidents according to clinic policy.

· Assists in and ensures that performance reviews are completed and delivered within 30 days of employee’s anniversary date.

· Monitors appointments, medical records, and electronic health records as well as patient registration forms.

· Monitors employee time cards, calendars and schedules including processing time off requests and ensuring accurate time punches

· Ensures adequate clinical staffing.

· Coordinates with billing staff to ensure that encounter forms are completed. Provides information to patients regarding clinic fee schedules and expectations of payment. Ensures that Sliding Discount Program application processing in a timely manner and complete with proper documentation.

· Maintains accuracy of provider templates according to scheduling guidelines and ensures proper scheduling daily.

· Maintains clinic supplies and inventory.

· Attends required meetings and participates in, or leads, meetings and committees as requested.

· Develops workflow processes as needed.

· Maintains strict confidentiality in sensitive matters.

· Works with Facilities team to coordinate repairs and maintenance.

· Ensures compliance with SCHC policies and procedures, including the employee handbook and Patient Bill of Rights.

· Coordinates with Human Resources on personnel functions including, but not limited to disciplinary concerns and documentation as well as promotions.

· Obtains a basic knowledge of Walk-In Clinic, lab and radiology, ancillary services, Oregon Youth Authority, dental, Kids Smile, Behavioral Health, and School-Based Health Centers.

· Flexibility to work overtime, evenings, or weekends as needed, including weekly late manager coverage.

· Ability to travel to other clinics as assigned, including Cave Junction clinic.

· Completes other duties and/or special projects as designed.

QUALIFICATIONS, EDUCATION and EXPERIENCE:

1. High school diploma or equivalent education required.

2. Two years medical office experience required.

3. Supervisory experience preferred.

4. Proof of current unrestricted Oregon driver’s license, comprehensive automobile insurance, and a safe driving record.

5. Current BLS certification or ability to obtain within 90 days.

6. Familiarity with computerized EHR programs preferred.

REQUIRED KNOWLEDGE, SKILLS and ABILITIES:

1. Can demonstrate knowledge of infection and exposure control.

2. General knowledge of office procedures such as data entry, spreadsheets, and use of telephone switchboard equipment.

3. Knowledge of HIPAA and other Federal and State policies/regulations regarding medical records, medical terminology, and medical abbreviations.

4. Can demonstrate effective verbal and written communication skills.

5. Skilled in establishing and maintaining effective working relationships with patients, staff, and the public. Demonstrates the ability to work with diverse populations, often in stressful environments.

6. Ability to work in the absence of direct supervision.

7. Can demonstrate strong organizational skills and effective use of time, working at a rapid pace and managing multiple tasks with competing priorities.

8. Ability to motivate, innovate, and demonstrate high performance.

Job Type: Full-time

Pay: $50,000.00 - $65,000.00 per year
