National Psoriasis Foundation is Hiring an Operations Specialist Near Alexandria, VA

The National Psoriasis Foundation (NPF) is a dynamic and growing non-profit organization dedicated to research, advocacy, and patient and medical education. We work together towards a cure for psoriasis and psoriatic arthritis and support those impacted by psoriatic disease.

Under general supervision of the Financial Operations Manager, the Operations Specialist is responsible for daily gift processing and data entry into the Raiser’s Edge database as well as invoicing the Foundation’s corporate and individual supporters. The position provides critical support for donation-related issues and data hygiene. The Operations Specialist will also provide administrative support to NPF’s Executive Team. This is a part-time position, working up to 20 hours per week, and will be based out of NPF’s Alexandria, VA office.

Responsibilities include:

Financial Operations

  • Accurate and timely processing of gifts and transactional information from multiple giving platforms into Blackbaud Raiser’s Edge through batch processing, including pledges, stocks, recurring and matching gifts
  • Acknowledge donors in compliance with IRS regulations
  • Manage donation processing email inbox responding to staff inquiries and resolving issues as needed
  • Create and/or update records in Raiser’s Edge for individuals and organizations; researching and analyzing information to populate all appropriate data fields used by NPF
  • Participate in database clean‐up projects as needed
  • Manage the daily mail intake; recording in the mail log, scanning all documentation, and posting to Microsoft Teams
  • Responsible for creating and issuing invoices to individual and corporate supporters
  • Issue pledge reminders to individual and corporate supporters
  • Support the Financial Operations Manager in accounts payable processing in SAP Concur
  • Manage Invoice email inbox, responding to staff inquiries and resolving issues as needed
  • Support the Chief of Staff with office functions

Administrative

  • Schedule and compile materials and agendas for organization meetings
  • Responsible for maintaining Foundation‐wide calendar listing of all projects and events
  • Arrange and coordinate travel schedules and reservations, including flights, hotels, and ground transportation
  • Manage expense reports for Executive Team members
  • Maintain strict confidentiality of sensitive information and ensure data security.
  • Handle miscellaneous tasks and requests to support the needs of the executive team

Requirements include:

  • Bachelor’s degree or noted relevant experience
  • Nonprofit experience preferred
  • Knowledge of IRS charitable guidelines and CASE standards preferred
  • Experience working in Blackbaud Raiser’s Edge and SAP Concur preferred
  • Knowledge of generally accepted fundraising and financial terminology in relation to gift processing preferred
  • Provide high level of customer service (internal and external) requiring diplomacy and professionalism with the ability to engage with NPF donors
  • Strong written and verbal business communication skills
  • Ability to independently manage multiple competing priorities and tasks
  • Strong analytical and research skills along with a strong attention to detail
  • Ability to quickly learn new software applications
  • Ability to work well under pressure in a fast‐paced environment
  • Must be flexible and adaptable
  • Adhere to National Psoriasis Foundation confidentiality policies
