Job Description: We are looking for an experienced, energetic Operations Manager to provide administrative leadership for our rapidly growing private psychiatric practice.

Develop organizational procedures and systems for office personnel; scheduling; preparing payroll.
Managing correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring the management of front desk functions.
Manage employee schedules and troubleshoot scheduling conflicts as they arise.
Maintain office efficiency by planning and implementing office systems, layouts, and the coordination of ordering supplies and equipment as needed.
Maintain internal and external compliance requirements, HIPAA Compliance, responsible for vendors, maintenance of leased areas (multiple office locations)
Supervising assigned staff and facilitating communication between staff and the psychiatrists, arranging meetings and conferences, maintaining psychiatrist’s calendars, developing processes to maximize office resources and anticipating the needs of patients as they arise.
Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
Manage quality inquiries, staff training, employee follow through and documentation of client and/or outside agency/customer complaint calls while working directly with Clinical Directors and Clients Rights Officers.
Escalate critical issues in a timely manner. Demonstrated ability to make decisions based on best information at the time; explains decisions to others and honors them; acts in a timely fashion; demonstrates flexibility and creativity in finding solutions; takes appropriate risks.
Completes operational requirements by scheduling and assigning employees; following up on work results. Ensure that office staff are all following written company policies and procedures.
Actively participates in updating Employee and Client Handbooks and ensures all employees are trained.
As a member of Access Ohio Leadership keeps the CEO and other management team members informed by reviewing and analyzing special reports; summarizing information; identifying trends (office productivity, billing, and employee attendance).
Participates in continuous quality improvement activities that contribute to the ongoing management, adherence and planning for funding, accreditation and licensing site visits (Joint Commission, OMHAS, Medicaid, etc.).
Improve employee and client retention rates through active communication and problem-solving efforts in conjunction with agency Clinical Directors.
Maintain office staff by recruiting, hiring talent for anticipated growth, orienting and training employees to site-based operations and propose retention and incentive plans in order to create successful employee and also facilitate the needs of psychiatrists, nurse practitioners, psychotherapists, Para-Professionals and technicians within a timely fashion.
Maintains office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results.
Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
Contributes to team effort by accomplishing related results as needed. Complete Employee Exit Interviews with staff or schedules them with a member of Human Resources
Experience:**
Minimum of 3 to 4 years in a medical office setting.
Two years in a supervisory or management position.
Behavioral Health office experience required.
Knowledge, Skills, and Abilities:**
Knowledge and experience in all aspects of billing.
Knowledge of regulations related to Medicare, Medicaid, and commercial insurance.
Human resources experience in hiring, supervision, and performance reviews
Knowledge of HIPAA and labor law
Strong customer service skills
Skill in writing policies and procedures
Skill in using healthcare software and computer systems
Knowledge of maintaining supplies and equipment for the medical setting.
Multitasking skills
Problem-solving skills
Professional communication and presentation skills, including face to face, email, telephone, and video conference.
Knowledge of continuous process improvement concepts and practices
Ability to communicate professionally with clinicians, nurses, allied health staff, administrative staff, frontline staff, contractors, governmental agencies, insurance payers, patients, family members of patients, suppliers, and the general public, of all age levels from child to senior citizen.
