Position Title: Director of Student Accounts

Department: Student Financial Services

Supervisor: Director of Student Financial Services

Position Summary: The primary role of the Director of Student Accounts is to work as an integrated member of the Student Financial Services team with oversight of the university’s student accounting, billing, receivables, and cash management/collection efforts while ensuring compliance with federal and state regulations.

Job Responsibilities:

I. Administrative

Student Accounts Receivable:

A. Supervise daily operations of cashier windows

B. Monitor cash flow and cash levels for the financial services

C. Oversee all online payments and processes

D. Coordinate with Financial Services Specialist to prepare and distribute monthly student billing statements.

E. Coordinate with Financial Services Specialist to prepare and generate student refunds

F. Maintain and update student account’s section of portal

G. Coordinate student balance and status issues with other departments

H. Manage Accounts Receivable module including updating for billing, price or transaction changes and implementing new upgrade-related processes

I. Maintain aging for student accounts and perform collection procedures as needed

J. Maintain relationships and current information with collection agencies

K. Prepare 1098-T’s

L. Oversee Perkins loans administration

M. Manage third party billings

N. Prepare audit reports

Supervisory Duties:

A. Financial Services Specialist

B. Student Workers, as needed

Cross-training and Support:

A. Learn all key processes of the combined financial aid and student account team of Student Financial Services.

B. Perform accounting or other office duties during peak period throughout the year

II. Professionalism

A. Maintain a professional image in dress, grammar, and conduct

B. Remain cognizant of the need for privacy and confidentiality when discussing sensitive matters relating to students, faculty, staff and other customers

C. Keep the work environment neat and orderly

D. Maintain a safe environment and follow all safety procedures

E. Prepare quality documents for communication and documentation with little reliance on supervision or review

F. Communicate effectively with customers, co-workers, and direct reports

III. Teamwork

A Work as a team player, supporting and assisting other employees.

B. Identify and participate in resolution of departmental/institutional problems with continuous quality improvement as a goal.

C. Enhance team effectiveness through dependability.

IV. Customer Relations

A. Make students, parents, faculty, and staff feel welcome and respected as individuals, treating them with courtesy and dignity.

B. Exhibit appropriate behavior in an office setting.

C. Approach all student financial services transactions with a positive and helpful attitude

D. Handle difficult, sensitive, and confidential issues with utmost care and concern

E. Demonstrate effective and respectful communications via phone, email, video conferencing, etc.

V. Perform other related duties as assigned or requested.

Qualifications:

I. Education- Bachelor’s Degree in business or related field preferred

II. Experience

Minimum of 1-2 years of related experience required

Familiarity with general accounting procedures

Experience in higher education environment preferred

Supervisory experience preferred

III. Knowledge, Skills, & Abilities

Strong interpersonal skills, including excellent and tactful verbal and written

communication skills

Proficiency with computer-based spreadsheets, data retrieval and word processing

Attention to accuracy and details

Ability to exercise independent judgment and work as a team member when required

Ability to maintain a high-level of confidentiality

Ability to be organized and meet deadlines

Ability to be a self-starter and follow through

Understand and support the mission and strategic plan of Texas Lutheran University

Physical Demands: Work requires normal concentration with ability to tolerate many interruptions while staying on track. Manual dexterity is needed to perform routine personal computing tasks. May require long hours during periods of high activity. Working Conditions: Work is performed indoors in a typical office setting. Requires the ability to multi-task in an oftentimes busy environment. Requires ability to cope gracefully with stress. Organizational Data: This is an exempt position. This position supervises the Financial Services Specialist and may indirectly supervise other staff, including student workers. Professional Affiliations: None required, although participation in local civic and charity organizations is encouraged.
