Position Summary
Under the supervision of the Property Supervisor, the Property Supervisor Assistant is responsible for assisting in the daily management of assigned properties.

Essential Duties and Responsibilities

· Assists the Property Supervisor to operate the properties within the financial guidelines, goals, regulatory agreements, mission, policies, procedures, and property management plan established by SHA.

· Completes third party verification of an applicant’s or tenant’s household income and assets as required. Prepares and sends monthly annual recertification letters, including scheduling the annual recertification and inspection appointments.

· Performs leasing related activities such as advertising, showing, interviews, record keeping, processing applications, and tenant retention as directed by the Property Supervisor.

· Assists with the administration duties of the Property Supervisor including daily depositing of receipts; coding of expenses; receive and record maintenance requests from tenants; data entry and updates to tenant information in the property management software system; and collection and deposit of rent, fees, and pet and security deposits.

· In the absence of the Property Supervisor, provides direction and ensures established maintenance priorities are met.

· Walks the grounds on a daily basis to ensure immaculate curb appeal. Any deficiencies should be corrected immediately and/or arranged for repair.

· Assists in the implementation of the tenant retention program under the direction of the Property Supervisor.

· Provides tenant referrals to community services and be a community liaison for the property and SHA.

· Responds to phone or email inquiries within one business day.

· Coordinates with Property Supervisor to walk through ready and available vacancies to periodically ensure “show-readiness.” Any problem should be corrected immediately and/or arranged for repair.

· Before the office is opened for business hours, ensures that the office and surrounding areas are clean and orderly.

· Responsible for reporting any unusual or extraordinary circumstances regarding the property or tenants to the Property Supervisor.

· Responsible for bookkeeping, writing receipts, and serving notices.

· Assists other staff with assignments as necessary, and performs other related duties as required or assigned.

Competency Requirements
Knowledge of or able to learn:

· Current market trends in rents, amenities, and competitive properties that may affect the performance of the assigned properties.

· Fair Housing guidelines.

· General office equipment use, such as copiers, faxes, and scanners.

· Various computer systems and software.

· Filing, basic math skills, working with public and phone skills required.

· Job safety principles.

Ability to:

· Understand the role in representing SHA and customer service protocol.

· Handle detailed tasks independently.

· Establish and maintain effective working relationship with other employees, management, tenants, applicants, vendors, and the general public while providing excellent customer service at all times.

· Handle sensitive and confidential information with professionalism.

· Use computer and related software for related job tasks.

· Perform work as an effective member of the Property Management Department team.

· Fluently read, write, and speak English.

· Practice Fair Housing guidelines.

Participate in required monthly training and meet passing score deadlines.

Acceptable Experience and Training

· High school diploma or GED equivalency and one year work experience in a related field is required.

· Preference is given to those with experience in assisting at multiple properties, and applicants with a bilingual certification.

· If position is in Public Housing or a tax credit property, appropriate certification is required within one year.

· Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work of an Property Supervisor Assistant.

· Must have an acceptable credit history, and have and maintain a valid driver's license, reliable transportation, satisfactory driving record, and adequate insurance coverage according the SHA’s policy and insurer.
Essential Physical Abilities
Physical demands include using hands to finger, handle or feel. The employee is frequently required to stand, walk or sit, and talk or hear. The employee is occasionally required to reach, climb or balance, stoop, kneel, crouch, crawl or lift. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, and distance vision. The use of computer and adding machine is essential to job performance.

Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits the employee to discern verbal instructions and to communicate effectively in person and on a telephone.

Work is primarily sedentary in nature. The work environment noise level is usually moderate. The employee can be exposed to outside weather conditions.

Must be able to fully function in a drug-free environment.
