Seabrook Hospitality is seeking an experienced and dynamic Events Project Manager to join our team. We specialize in curating memorable events that leave a lasting impression. Our commitment to excellence and innovation drives us to continuously raise the bar. This role is pivotal in driving the success of our public events by securing sponsorships, coordinating with vendors, and managing event logistics. The ideal candidate will possess a strong background in project management, relationship building, and team leadership within the hospitality or events industry. This role can be either a fully remote or hybrid position.

Job Duties and Responsibilities (Essential Functions):

  • Strategically plan and book events long term, analyzing market trends, competitor activities, and client preferences to secure desirable dates and venues.
  • Collaborate with the planning team to develop event concepts, themes, and strategies to meet client objectives and expectations.
  • Create and maintain detailed project timelines, deadlines, banquet event orders and budgets to ensure projects are completed on schedule and within budgetary constraints.
  • Develop compelling sponsorship proposals and presentations tailored to the needs and objectives of potential sponsors.
  • Identify and cultivate relationships with potential sponsors to secure financial support and partnerships for events.
  • Delegate tasks effectively, allocate resources efficiently, and monitor team performance to ensure productivity and quality of work.
  • Manage event budgets, including revenue projections, expense tracking, and cost analysis.
  • Monitor financial performance against budgetary targets and implement corrective measures as needed to optimize profitability.
  • Lead the sponsorship acquisition process by identifying potential sponsors, creating sponsorship packages, and negotiating agreements to secure funding and support for events.
  • Manage relationships with sponsors, vendors, and stakeholders to ensure deliverables are met and expectations are exceeded.
  • Oversee logistical arrangements, including venue selection, permits, catering, entertainment, audio-visual equipment, and transportation.
  • Conduct post-event evaluations to assess the success of events and identify areas for improvement.
  • Reference past events and identify new opportunities that align with budgets, team resources, and booking potential.
  • Plan events well in advance, ensuring all logistics are meticulously organized and confirmed.
  • Coordinate with artists, participants, and vendors to secure availability, set dates, and finalize contracts.
  • Cultivate and maintain relationships with vendors, securing complimentary services such as food and photography for events.
  • Reach out to potential sponsors, both monetary and in-kind, actively seeking partnerships to enhance event offerings.
  • Collaborate with community partners to establish mutually beneficial relationships and partnerships for select events.
  • Work closely with Seabrook's marketing team to finalize event details, facilitating the creation of media kits and advertising materials.
  • Identify new participants and interest groups in collaboration with the marketing and PR teams to enhance event attendance and engagement.
  • Collaborate with key partners, including the events operations team, CAM, and insurance providers, to ensure events comply with regulations and meet expectations.
  • Source and order necessary supplies and equipment for events in advance, handing off details to the Event Planner.
  • Create event ticketing pages and manage ticket availability and pricing to maximize revenue and attendance.
  • Stay current with industry trends, best practices, and innovations in event management.
  • Perform other duties as assigned.

Knowledge/Skills/Abilities:

  • Strong analytical skills, with an ability to troubleshoot, problem-solve and effectively and efficiently make decisions.
  • Excellent interpersonal skills, including an ability to work well with others within own department and inter-departmentally, team-player.
  • Ability to be flexible and objective in a constantly evolving environment and demonstrate patience.
  • Strong written and verbal communication skills
  • Work a flexible schedule, which may include evenings, weekends, holidays, and extended hours, as necessary.

Qualifications:

  • Bachelor’s degree or relative experience in Hospitality Management, Event Planning, Marketing, or related field.
  • Proven experience in event management, with a focus on public events, talent booking, and sponsorships.
  • Strong project management skills, with the ability to multitask and prioritize tasks effectively.
  • Proficiency in event management software and Google Workspace.

Physical Requirements (including but not limited to):

  • Visually or otherwise identify, observe, and assess distance, color, and depth.
  • Required to regularly communicate with others and exchange accurate information.
  • Frequently move up to twenty-five (25) pounds and occasionally move up to fifty (50) pounds.
  • Annual Salary: $70,000
