Description

The Sales Administrator for Solid State Cooling Systems is often described as the “gear box” for sales operations and order management. This is a critical job to ensure orders are received and processed in a timely manner. The Sales Administrator also serves as a primary contact for customers to submit orders, obtain order status or address issues. The job requires an individual who is very dedicated, with outstanding communication skills, exceptional attention to detail and strong organizational skills.

Key areas of responsibility

  • Processing sales orders, ensuring order accuracy, addressing any order issues.
  • Drive the process for management review of orders and order acknowledgement.
  • Maintain continuous communication with customers, keeping our customers informed on order status and addressing questions that arise.
  • Provide product configurators, product labels and other documents to the production team.
  • Learn and utilize customer-unique order management systems and processes.
  • Work seamlessly with the sales team, manufacturing, engineering and finance to ensure smooth business operations and address any administrative issues.
  • Maintain and organize sales documentation and files.
  • Act as the primary receptionist and central contact point for the company.
  • Provide general office and administrative support to the senior executive team.

Job qualifications

  • Must have very strong interpersonal and communication skills.
  • Must be very comfortable interacting with customers, always maintaining a caring and professional attitude, even when dealing with unreasonable customers.
  • Must be able to work effectively and calmly in stressful situations.
  • Must be extremely organized with exceptional attention to detail. The Sales Administrator processes thousands of orders each year, so organization is critical to doing an effective job.
  • Must be responsible, hardworking and committed to the success of the company as a whole.
  • Must have a positive attitude and work well with all other functions.
  • Must have strong computer and typing skills, since 95% of the job is performed at a computer. The job requires working knowledge of Microsoft Outlook, Word, Excel, Access and other similar applications.
  • Familiarity with order management systems, ERP systems and/or CRM systems is a plus.
  • Our business is highly technical in nature, so the job requires some level of technical acumen.

Hours / Compensation

  • This is a full time, hourly position with a fixed schedule (5 days / week, 8 hours per day)
  • Compensation based on experience and qualifications
  • Participation in a quarterly bonus program.
