Manages the overall coordination and execution of registration components within the constraints of project costs, time and scope. Scope The role serves as client contact in regards to all conference registration needs, including websites, customer communications, reporting and onsite credential materials. The scope of this position is dependent upon assigned account/programs. No direct reports. Reporting and Working Relationships Manager, Registration Services or Sr. Manager Registration Services. Works closely with client contact to understand and meet show objectives/outcomes. Regular interaction with internal departments including Account Management, Application Development, Customer Service, Housing, Onsite Services, Project Accounting, Project Management and Sales. Principle Responsibilities 50% REGISTRATION MANAGEMENT: Independently interfaces with day to day client contact in regards to registration needs. Manage show account load of moderate complexity. Maintains proactive, positive, open line of communication between client and AE/PM to ensure understanding of expectations and client satisfaction. Works closely with application developer to exceed client requirements and objectives. Maintains an understanding of current business and technology practices in order to design solutions and integrate with future products. Schedules production jobs for ticket and credential production, collation and mailings. Updates onsite services and engages at appropriate time to prepare final onsite portion of project. Participates in project team meetings and provides input to Project Management, Account Management, Housing Services and Onsite Services as applicable. 30% SYSTEM DEVELOPMENT/CONSULTATION: Gathers the requirements/specifications for registration sites, defines clients reporting needs and assists with scheduled reports and/or training. Tests the sites for functionality, proofs content, and responds to any client questions/exceptions from the sites. Consults with client to insure that optimum solutions to Registration needs have been identified by clearly defining the needs, securing agreement on objectives and priorities, generating alternatives, recommending a course of action, and developing web site in appropriate tool or completing requirements documentation. 20% SHOW DELIVERABLES/CROSS FUNCTIONAL COLLABORATION: Develop technology knowledge, and improving skills in client communications, interpersonal relationships, and time management. Provides weekly status reports and updates system with accurate and timely deliverables. Creates, updates and posts show requirements and documentation to support best practices. Procures materials (i.e. supplies) needed to produce credentials, tickets and other items for collation. Tracks expenses for billing. This job function requires or may require travel to destinations worldwide, in support of client site inspections and/or program operations. There is an inherent risk associated with all travel, often as a result of extraordinary circumstances. Therefore, during an emergency, it is your duty to provide the necessary guidance and leadership, and to promote the safety of the client, travel participants and other MGE employees by implementing or supporting prescribed crisis procedures. Qualifications 1. Bachelor’s degree or prior experience as an Experient Registration Coordinator or prior Association Registration experience. 2. Strong analytical skills along with the ability to troubleshoot and problem solve required. 3. Basic understanding of HTML. 4. Proficient in Microsoft Office products including Outlook, Word and Excel required. 5. Professional oral and written communication skills required. 6. Strong customer service skills with the ability to multi-task required. 7. Ability to travel 25% of the time required.
