Position InformationSonoma Public Infrastructure (SPI) seeks experienced professionals with exceptional supervisorial skill sets to fill two Office Support Supervisor positions.Starting salary up to $ 39.42 /hour ($82,274/year)* plus a competitive total compensation package! Join Our TeamThe Sonoma County Public Infrastructure (SoCoPi) Department leads the way to a safe and sustainable community by planning, building, managing, and maintaining Sonoma County's investment in quality services and infrastructure. The department's staff of 271 supports the County's critical transportation infrastructure, including bridges, roads, street lighting districts, and traffic signals as well as the procurement and maintenance of equipment, vehicles, and real estate; purchase of goods and services; management of an airport, public transit services, and various capital projects; operation and maintenance of four Veteran's buildings and four water systems within the unincorporated areas of Sonoma County; and maintenance of multiple solid waste disposal sites.
Front Desk Office Support Supervisor
Reporting to a Customer Service Manager, this Office Support Supervisor will be responsible for supervising four front desk Senior Office Assistant staff who provide internal clerical support as well as external customer service support for members of the public and employees from other departments. This Ofifce Support Supervisor position will ensure that all customer service tasks are done on time and to department standards. This position will also perform higher level clerical support such as performing document remediation, responding to public requests for information, and maintaining records in accordance with the retention schedule.
Road Maintanenance Office Support Supervisor
DutiesReporting to the Road Operations Division Manager, this Office Support Supervisor will oversee office operations for the Road Maintenance Division and will have direct supervision of a yard clerk and may supervise extra-help yard clerks/office support as-needed. The position will be the lead for onboarding new yard clerks and training staff on proper usage of timekeeping and work-order management systems. They will be responsible for coordinating facilities operations requests for all road maintenance yards, as well as responding to Public Record Act requests. Other duties for this position include:
  • Assisting with preparation and delivery of a variety of written correspondence on behalf of the Road Operations and other department managers
  • Maintaining road closure listings on County website and GovDelivery services, including disaster response
  • Maintaining and updating a variety of division procedure/reference documents
  • Pulling requested reports from the work order management system
  • Backing up yard clerks answering phone calls and other public support requests
In addition to being customer-service focused, detail-oriented, and having the ability to multi-task, the ideal candidates for these positions will possess:
  • Experience interacting with clients and staff from diverse backgrounds
  • Excellent written and verbal communication skills

Knowledge, Skills, And AbilitiesConsiderable knowledge of: department relationships, organization, programs, services and functions to proficiently plan, prioritize, coordinate, implement, direct, review, evaluate and perform work assigned to an office support section; government or department codes, ordinances, laws, regulations, procedures, precedents, policy decisions and written format, in order to carry out office support and minor administrative functions; research, analyze and resolve specific work problems; assess accuracy and acceptability of work performance and procedures; modify work procedures and interpretation of guidelines; work practices, procedures, step-by-step sequences and timetables, in order to schedule work and resolve problems associated with the completion of minor administrative and office support duties; coordinate functions assigned to the section with other sections; the use of electronic information equipment and specific systems as used within the department.
Ability to: plan, prioritize, review, direct, implement, evaluate and perform work assigned to an office support section; understand, weigh and apply regulatory, office practice and procedural guidelines to a variety of unrelated situations; initiate and complete office support and minor administrative duties independently; make frequent and logical decisions related to the interpretation and application of regulations, laws, precedence and procedures, which may be conflicting, ambiguous or incomplete; establish and maintain cooperative working relationships with co-workers; evaluate employee work performance and suggest alternative work methods or special training to resolve work problems or improve work; carry out projects with minimal instruction and good judgement in recognizing scope and authority in providing supervision to an office support section; deal in a courteous and factual manner with the general public; use judgement and discretion in exchanging information; perform a variety of minor administrative duties related to the compilation and summary of budgetary, expenditure and revenue appropriations, expenditures, adjustments, transfers and estimates, personnel and payroll records, requisition, distribution and maintenance of inventories; workflow, workload, production output reports; a variety of similar control, statistical and account records for the section supervised; understand and carry out written and oral instructions; relieve office support staff of assigned duties as needed; use electronic information equipment and specific systems as used within the department.
