Duties include but not limited to:
  • Collaborate with Site Manager to identify tasks and activities that can be delegated to the Site Support Team like Engage Team, Site Safety Team, etc.
  • Carry out other strategic tasks that have significant impact on the business and site operations e.g. supporting Technical Service in handling utilities and general services IVT, etc.
  • Organize department-wide meetings and events as well as meetings and events specific to the management team.
  • Handle highly confidential information in a professional manner.
  • Help all Department Managers -this includes but is not limited to assist in coordinating travel, filing expense reports in Concur, ordering office supplies, and preparing correspondence i.e. letters, e-mail, reports, presentation, and other business-related documents.
  • Manage existing administrative processes, introduce, and supervise improvement initiatives.
  • Manage the Employee e-time. Verify Enterprise e-time for processing of hourly payroll. Route payroll data to corporate office for processing. Compile payroll overtime data and employee occurrences reports for Hopewell Managers.
  • Responsible in conducting safety & health inspections and being the point of contact for all issues with the PPE and for various buildings on site. The person is an integral part of the Internal Audit Team in compliance to ISO 9001 and 14001.
  • Manage Employee discount programs and support site activity committees.
  • Maintain Notary Public status to assist site employees with notary requests.
ResponsibilitiesGeneral Site Admin Responsibilities:Manages calendars and schedules. Organizes meetings, plant tours and other large site events for Global Managers, Site Manager, BL Customers, and other department managers when necessary.
Arranges domestic and international travel plans and itineraries, fine tunes travel details and compiles documents for travel-related meetings. Prepares and processes Concur & JP Morgan expense reports and inter-departmental invoices using the IVT system. Supports Evonik presence and supports to Hopewell communities.
Document Control Coordinator for Operations EHSQ Management System
Internal Audit Team Member - preparing I-P-O audit reports and reporting audit results to Internal Audit Team Manager.
Coordinates and prepares turn-in reports for the site United Way Campaign. Monitors & prepares monthly Gym Membership reports. Addresses and coordinates employee essentials, i.e., Engage Team Member - reports expenditures to Engage Treasurer for budget accuracy.
Main responsible for the effective roll-out of 5S in all common office areas and conference rooms. Manage Hopewell TV by updating the files regularly for Hopewell communication.
HR/Payroll Responsibilities:Coordinate data for payroll by working with the managers to validate hours especially overtime and occurrences. Manages any issues and work with Payroll Team to address the concerns. Resolves issues related to the administration of e-time; includes e-time system updates, scheduling changes, pay rule assignment, payroll accuracy, some timeclock maintenance, getting new employees on the timeclock, & employee leave requests.
Support HR in doing the on-boarding process for new employees.
Prepares various confidential departments and payroll reports. Manages site gift card ordering and reporting to Corporate Payroll for tax purposes
Procurement Responsibilities:Coordinates and oversee Site contracts related to uniform, mats, office supplies, break room supplies, kitchen & bathroom supplies and the safety shoes & winter clothing program for Hopewell employees. Sources and procures miscellaneous supplies and products for the Site.
Requirements
  • High school diploma or Junior college graduate
  • The incumbent should possess strong organizational, task management and good communication skills.
  • A proactive work style and a natural inclination to take the lead are crucial for this role.
  • The incumbent should be able to provide past examples of improvement initiatives, project management and/or other forms of leadership.
  • This position requires at least two years of experience working closely with upper management levels. The incumbent should be confident and comfortable working with (international) executives in a professional manner.
  • Strong business acumen, creativity, and a solid understanding of what is required for success in the specialty chemical business are necessary.
  • Strong influencing skills and the ability to get results in the absence of formal authority are indispensable for this role.
  • Impeccable integrity, discretion, tact, and the ability to handle highly confidential information are vital.
  • This position requires a strong leader and independent thinker who can deliver results, but who is also willing to take direction from the Site Manager and able to operate within parameters that may be fluid and ambiguous at times
