Temple Shir Tikvah is Hiring a Director of Administration Near Winchester, MA

The Director of Administration serves as the primary administrator of the Temple reporting to the Temple’s VP of Administration. This professional executes the mission of Temple Shir Tikvah by managing its physical, financial, and human resource functions. This position serves as the “face” of Shir Tikvah to the community.

Temple Shir Tikvah is a warm, inclusive Reform Jewish community of about 380 families and singles households located in Winchester, MA. We weave meaningful connections through learning, ritual, joyful singing, and social justice. We invite our community to bring their whole self, and to join us as we grow relationships, find sacredness, and work together to heal the world.

We are seeking a director who embraces our mission and values and possesses the technical and interpersonal skills to fill this important role.

Principle Duties and Responsibilities are:

MEMBERSHIP COORDINATION

  • Serves as an initial point of contact for prospective and new members, offering information on services, programs, and dues structure.
  • Maintains accurate membership records within our synagogue management system(SchulCloud).

OFFICE MANAGEMENT

  • Develops and implements office policies and procedures.
  • Supervises the Office Manager and Custodian during the day-to-day operations of the Temple Office.
  • Supervises a part-time bookkeeper to develop and maintain proper accounting and financial record keeping processes.

FISCAL SUPPORT AND FUNDRAISING

  • Works with the Office Manager and the Treasurer to manage general revenue and expenses including the tracking and timely payment of invoices.
  • Assists the Finance Committee in maintaining financial and accounting records, making operating and capital budget projections, and preparing monthly and annual financial reports.
  • Works with the Treasurer in the collection of dues, tuition and other member charges, and in determining membership and tuition abatements.
  • Assists with development activities by supporting the Chai, Endowment, and Legacy Circle Committees with communications and donation record keeping.

SCHOOL SUPPORT

  • Supports the administrative needs of the school, including maintaining enrollment lists and budget data.
  • Works closely with the Town of Winchester and other third parties to rent school facilities.

HUMAN RESOURCES

  • Oversees employee payroll on a bi-weekly basis and ensures that pension payments and health insurance payments are on time.
  • Maintains personnel records and the Employee Handbook.
  • Assists the Personnel Committee in selecting health and long-term disability insurance plans and interfaces with insurance providers.
  • Supervises and inspires Temple Shir-Tikvah staff individually and as a team. Fosters a collaborative work environment built on trust, clear expectations, and communication.
  • Oversees recruitment and onboarding of new employees. Maintains and updates employee job descriptions. Conducts performance reviews.

COMMUNICATIONS AND TEMPLE CALENDAR

  • Supervises the Office Manager in email communications to the membership including weekly updates, newsletters, dues and tuition billing communications, high holiday communications, and leadership emails.
  • Supervises the Office Manager in scheduling of temple events on the temple calendar.

FACILITIES/INFORMATION TECHNOLOGY

  • Establishes policies for facility use and maintenance schedules.
  • Works closely with the House Committee to obtain competitive bids for building maintenance and improvements.
  • Oversees insurance protection for the building and its contents by obtaining competitive quotations for insurance contracts.
  • Works closely with the IT committees to identify the technical needs of the temple and to plan for future IT needs.

SAFETY/SECURITY

  • Works closely with the Safety Committee to develop safety procedures for the temple community.
  • Applies for security grants and, if received, executes the terms of the grants and its associated expenditures.
  • Maintains a close working relationship with the Winchester Police for security coverage at temple events, school events, and High Holiday services.
  • Attends security webinars and in-person meetings to improve safety processes.

BOARD AND COMMITTEES

  • Acts as a non-voting member of the Board of Trustees.
  • Acts as an integral member of the House, Finance, IT and Safety Committees, and provides details to the Board on the planning and implementation of their programs.

PROGRAM COORDINATION

  • Provides the administrative and logistical support required for the large temple events such as High Holiday services, including space rental, venue set-ups, and ticketing.

Qualifications:

  • Bachelor’s degree with 4-6 years of relevant experience.

Skills/Abilities:

  • Ability to manage multiple tasks and projects daily.
  • Demonstrated management and employee relations skills.
  • Understanding of Reform Jewish values, rituals, and holiday practices.
  • Strong interpersonal and team player skills to relate effectively with clergy, staff, lay leadership and temple members.
  • Excellent oral and written skills.
  • Strong computer skills with experience in Word, Excel, PowerPoint, Outlook, SharePoint, OneDrive, Teams, and QuickBooks. Experience with ShulCloud is a plus.

Job Type: Full-time

Pay: $90,000.00 - $115,000.00 per year
