Position Summary: THIS IS A CRITICAL KEY POSITION OF THE COMMUNITY • Promotes rich living experiences for residents living within the community, promoting the Artēgan “Art of Living” philosophy. • Directs, coordinates, and completes physical plant services to maintain the building and grounds of the community in solid working order maintaining a clean and organized environment. • Ensures compliance of Life Safety regulations including staff training. • Routinely inspects the community and grounds plant and provides routine preventative maintenance within acceptable standards of practice. • Does daily walk-through of community and grounds to inspect for obvious hazards and correct/arrange for immediate correction of obvious hazards. • Routinely coordinates, directs, and documents required fire drills and fire drill training. • Department Manager participation in overall department director team duties. • Has overall responsibility for Housekeeping Department to ensure: o The community is kept clean including fixtures, furniture, floor, and equipment. o All community spaces are clean, safe, and orderly at all times. o All resident rooms are cleaned and serviced daily as specified by community standards, policies and procedures, and job description expectations. • Has overall responsibility for Laundry Department to ensure: o All laundry (includes resident laundry and linens and dietary laundry) is collected, sorted, washed, dried, folded, stacked, and delivered/distributed as appropriate (personal laundry to residents and to departments from which other laundry was collected). All laundry must be done in compliance with community and state laundry standards, policies, and procedures. o Laundry spaces are kept clean, neat, and orderly. • Reviewing TELS on a daily basis and updating as necessary to ensure scheduled maintenance/drills/certifications are up to date. • Has overall responsibility and oversight for preventive maintenance, painting, and necessary repairs both inside and outside the community grounds as necessary to provide a safe, attractive, and orderly environment for the benefit, use, enjoyment and protection of residents, staff, and visitors. May include: o Conducting routine tests and inspections on various community systems (such as emergency generator, sprinkler system, door alarms, hood and duct system, hot water system, etc). Maintenance Director – Comprehensive Job Description Page 2 of 7 o Initiating and updating the fire and disaster preparedness program. o Conducting monthly fire/emergency drills. o Ensuring compliance with federal and state regulations and community standards, policies and procedures regarding maintenance and emergency services devices. • Makes final selection and/or recommendation of Environmental Services Department personnel (pursuant to direction of the ED). • Supervises orientation, on-the-job training, and work performance for all Environmental Services Department personnel. • Maintains records and compiles necessary/required reports concerning housekeeping, laundry, and maintenance operations. • Manages housekeeping, laundry, and maintenance operations within budgetary guidelines. • Follow routines, standards, policies, and procedures related to the Environmental Services Department as established by the community ED. • Manages the community Hazardous Chemical program, with oversight and direction of and by the ED. • Other duties as assigned. All Maintenance Directors of Artēgan communities are key staff members, maintaining full accountability for fulfillment of the mission of Artēgan at their respective communities. All duties will be performed in accordance with established community standards, policies and procedures, resident service objectives, and resident rights policies and objectives. QUALIFICATIONS: • Two years experience in institutional housekeeping, laundry and/or maintenance related activities • High School diploma or equivalent • Demonstrate strong leadership skills • Excellent written and oral communication skills • Highly organized approach to work • Ability to complete basic maintenance services such as painting, simple plumbing, carpet removal, and equipment repair • Flexible working hours • Able to deal tactfully and diplomatically with others, whether involved with residents, their families, or the public at large • Positive attitude with abundant enthusiasm • Able to multi-task • Able to read, write and speak English in an understandable manner and as necessary to understand, complete and note TELS information • Have basic computer skills. • Have documentation of TB testing in compliance with community policy and state law • Be willing to work as a team member with other staff and handle interaction with residents, family members, and visitors/vendors in an appropriate and patient manner • Understand and work within Standard Precautions, at all times, to prevent spread of infections/disease • Become familiar with and follow community standards, policies, and procedures/expectations, and ensure that staff under the direction of this position is also familiar with the standards, policies, and procedures/expectations • Able to work independently, make appropriate decisions in emergencies, and safeguard resident safety and wellbeing while on duty Maintenance Director – Comprehensive Job Description Page 3 of 7 • Be a physical presence in the community so that staff, residents, etc. are familiar with the person assigned to this position and feel free to approach the Maintenance Director with community concerns • The expectation for this position is that the Maintenance Director will spend less than 1.5 hours per day on office/paperwork and the rest of the day will be spent out in the community completing necessary maintenance/repair tasks • Have CPR/First Aid certified as a first responder within 30 days of hire • Complete required training, which may include HIV training, within specified timelines as a condition of continued employment • Have basic working knowledge of electrical, plumbing, air conditioning, heating, refrigeration, carpentry, plastering and painting services • Able to establish and adhere to work routines, schedules, and goals • Have the numerical ability to measure ingredients and learn dilution rates • Have the ability and knowledge to operate floor scrubbing/polishing machines, carpet shampooers/extractors, hand tools and small power tools • Have the ability, knowledge, and strength to use a ladder and/or stepstool • Must not be afraid of heights and/or unable to perform maintenance tasks requiring use of ladder • Have an interest in and positive attitude toward geriatric residents • Understand and work at all times with Standard Precautions and prevent the spread of infections and disease • Able to work independently, make appropriate decisions in emergencies and safeguard resident safety and wellbeing while on duty • May be required to work weekends, holidays and after-hours as needed to maintain a safe and healthy environment for residents and as requested by the community ED • The Member may be subject to falls, exposure to odors, etc. including the potential exposure to HIV and Hepatitis B viruses • The Member may be exposed to resident's and prospects domestic pets (dogs, cats, birds, etc.). • May be required to have a negative COVID-19 test on file. May be subject to random or specified drug and alcohol screening (see Member Handbook). • Have required background check with no convictions in violation of applicable state/federal laws and no disqualifying events. • All Members are required to be awake and alert during their entire work shift. Sleeping on the job site is unacceptable, even in Community break rooms. • Members may be paid for meal breaks when they are required to be on-call, such as night shift or Members accompanying residents on outings. Members who are paid for lunch periods due to being on-call during lunch and breaks may not leave the Community during paid break/mealtimes. If this paid meal break occurs during a resident outing, the Member must stay with the residents during the paid meal break. Duties and Responsibilities: Listed below is an outline of the duties and responsibilities that the Member may be required to perform. This listing of expectations is not to be construed as an all-inclusive list and in no way states or implies that these are the only duties the Member will be required to perform. General Responsibilities: ➢ Assists in recruiting and hiring staff sufficient to meet necessary department work requirements (involvement in this process as directed by ED). ➢ Provides a safe and clean working environment for all subordinates and ensures they carry out duties in a safe manner using proper equipment and tools. ➢ Schedules Maintenance Department staff work hours for all shifts as necessary to meet community requirements and standards. ➢ Supervises department staff to ensure that all daily functions, as outlined in staff job descriptions, are carried out and completed in a timely manner. ➢ Evaluates all department staff on a scheduled basis and completes written performance reviews as stipulated by community standards/policy. ➢ Administers counseling memorandums if necessary due to weak staff performance and/or disciplinary issues. ➢ Receives and reviews resident complaints and suggestions in a courteous manner and implements changes as needed for the satisfaction of the residents and well-being of the community. ➢ Completes forms or reports as directed by the community ED and/or job description. ➢ Administers budget for the Maintenance Department (including housekeeping, laundry, and maintenance) operations and stays within established budget. ➢ Holds a position on the community Safety Committee. ➢ Responds to community emergencies (whether related to weather, environmental disasters, community disasters, etc.) timely and efficiently. Maintenance Director – Comprehensive Job Description Page 5 of 7 Housekeeping Responsibilities: ➢ Sets specific goals and work objectives for housekeepers in compliance with standards established by the community ED. ➢ Understands and adheres to all state and federal sanitary regulations in respect to housekeeping functions. ➢ Ensures housekeeping staff members receive proper job training, orientation to community standards and policies and introduction to fire/disaster preparedness safety procedures. ➢ Holds necessary in-service training to maintain community standards. ➢ Orders supplies and ensures an adequate inventory is on hand at all times. ➢ Ensures all housekeeping records are completed in a timely manner and maintained as specified by community guidelines. Laundry Responsibilities: ➢ Sets specific goals and work objectives for laundry staff in compliance with standards established by the community ED. ➢ Understands and adheres to all state and federal sanitary regulations in respect to laundry functions. ➢ Ensures laundry staff members receive proper job training, orientation to community standards and policies and introduction to fire/disaster preparedness safety procedures. ➢ Holds necessary in-service training to maintain community standards. ➢ Orders supplies and ensures an adequate inventory is on hand at all times. ➢ Ensure all laundry room records are completed in a timely manner and maintained as specified by community guidelines. Maintenance Responsibilities: ➢ Sets specific goals and work objectives for maintenance staff in compliance with standards established by the community ED. ➢ Understands and adheres to all state and federal sanitary regulations in respect to maintenance functions. ➢ Ensures maintenance staff members receive proper job training, orientation to community standards and policies and introduction to fire/disaster preparedness safety procedures. ➢ Holds necessary in-service training to maintain community standards. ➢ Orders supplies and ensures an adequate inventory is on hand at all times. ➢ Establishes a preventive maintenance schedule. ➢ Ensures all maintenance records are completed in a timely manner and maintained as specified by state and federal regulations and community guidelines (documents in TELS). ➢ Establishes and expedites a work order program according to community standards, policies, and procedures/expectations (documents in TELS). ➢ Prioritizes work orders. ➢ Takes the lead and directs staff, as necessary, in repair work such as masonry, carpentry, painting, electrical refrigeration, air conditioning and heating. Ensures work is completed timely and documents same (documents in TELS). ➢ Schedules necessary maintenance and repairs. ➢ Delegates as necessary to complete maintenance and/or repairs based on maintenance schedule and/or work orders. ➢ Monitors maintenance/repairs for completion on a timely basis and in compliance with state and federal regulations and community guidelines (documents in TELS). ➢ Keeps accurate records of equipment improvements (documents in TELS). Maintenance Director – Comprehensive Job Description Page 6 of 7 ➢ Recommends building equipment improvements. ➢ Performs periodic maintenance checks of building, grounds and community equipment as scheduled. ➢ Keeps a current inventory of maintenance supplies, tools, equipment, chemicals (including complete chemical inventory list and SDS binder for entire community), and stock. ➢ Conducts or delegates the responsibility to conduct routine test of various essential systems and equipment (such as emergency generator, fire alarm, sprinkler system, hood and duct system, door alarms, call bells, hot water system, etc.) and ensures that delegated testing is completed. ➢ Checks the quality of workmanship performed by outside contractors to ensure that building and safety codes are met. ➢ Readies vacant apartments for occupancy in no more than five (5) calendar days from last date of occupancy. Fire/Disaster Preparedness: ➢ Conducts fire/disaster drills no less than monthly per state and federal regulations and community requirements, and notes completion in TELS. ➢ Provides in-service training to all staff members related to firefighting (and when not to attempt this), safety and disaster preparedness plans. ➢ Assist in preparing information for “Right-to-Know” forms and in-services for staff on hazards in the workplace. Other Responsibilities/Duties: ➢ Maintains work area(s) in a clean, safe, organized, and sanitary condition. ➢ Maintains tools and equipment in good working condition, ensuring that all safety guides/devices are in place as required by state standards. ➢ Establishes a designated storage areas/place for all department tools and equipment. ➢ Establishes a designated storage area/place for all chemicals stored on site and ensures correct storage lockers are utilized. ➢ After use, returns tools and equipment to designated storage areas/places. ➢ Purchases supplies and equipment from approved vendors as needed and as specified in community procedures. This includes coordinating and purchasing all chemicals used at the community to ensure proper storage and lack of duplication of orders. ➢ Observes the practices of dignity and hospitality with respect to all residents, families, and visitors. ➢ Coordinates maintenance services and schedules with all other departments and outside/contracted service providers. ➢ Completes all department mandated forms as required. ➢ Maintains ongoing records of all maintenance activities. ➢ Must be available for on-call emergencies twenty-four (24) hours per day, seven (7) days per week. ➢ Attends all scheduled meetings relative to the Maintenance Department and/or management staff members, and as requested by the community ED. ➢ Participates in committees as assigned. ➢ Performs all duties as requested to fulfill the philosophy, goals and objective of the Maintenance Department as related to the community. ➢ Performs other duties as assigned by the community ED. ➢ Keeps current on developments and latest technologies and standards relative to housekeeping, laundry and/or the maintenance industries. ➢ Recommends revisions or adaptations to current housekeeping, laundry and/or maintenance standards/policies/procedures that will bring increased efficiency and performance to the department. ➢ Responds quickly to all emergency situations. May include: Maintenance Director – Comprehensive Job Description Page 7 of 7 o Assisting in fire control and resident evacuation procedures during fire/disaster. o Ensuring unit personnel know actions to be taken during fire/disaster. o Perform CPR as necessary. ➢ Counsels and disciplines Members when required in a fair and consistent manner per community standards, policies and mandated rules and regulations. ➢ Assists with community equipment hazard assessments. ➢ Ensure that all new equipment is entered into TELS for tracking/maintenance purposes.
