Registration Specialist

Salary: $53,735

The College is looking for exceptional colleagues to join the MVCC community. We are currently seeking a full-time Registration Specialist in our Office of Records and Registration. The Registration Specialist assists the Director of Records and Registration by serving as liaison with the Office of the Vice President of Learning and Academic Affairs for processes affecting catalog changes, registration and transfer credit. This position interfaces with Academic Deans to develop and maintain course equivalencies for transfer credit and works with the Academic Dean of Athletics and Recreation to monitor athlete enrollment. The Registration Specialist serves as liaison among Admissions, Advisement, and the Office of Records and Registration to facilitate processing transfer credit.

Key responsibilities for this position include:

  • Collaborates with Associate Vice Presidents/Academic Deans and designated liaisons in each academic department to establish course equivalencies for the transfer of credit and process graduation certifications as needed;
  • Evaluates transfer credits through the use of functional equivalency tables and appropriate College software, including but not limited to Banner, TES (Transfer Evaluation System) and Transferology;
  • Advises and encourages students to seek guidance from academic and student affairs staff and to review transfer options;
  • Maintains all data related to Banner, TES and Transferology, and trains faculty, staff and students on the use of TES and Transferology resources;
  • Reviews and updates the transfer processes by monitoring turnaround responses and timing of the transfer processes;
  • Trains staff on processing and posting the transfer of courses, exceptions, waivers and substitutions using Banner, Degree Works, TES and Transferology;
  • Assists the Athletics department to provide timely and accurate information about athletes participating in all sports to determine how changes in students’ enrollment affects both eligibility and certification;
  • Establishes and maintains an effective working relationship with coaches, faculty, staff and students and works closely with the Athletics personnel to establish effective processes and reviews reports to meet National Junior College Athletic Association (NJCAA) compliance requirements;
  • Assists in collecting information about academic progress, degree completion and student-athlete enrollment data required for analytical and audit reporting;
  • Works with the Assistant Registrars to become the Degree Works (DW) second scribe and to assist with the catalog updates and maintenance of the Degree Works system;
  • Assists faculty, staff and students with DW degree progress, transfer processes, credit transferability and pre-requisites to courses;
  • Assists the Director with registration processes by checking pre-requisite courses and student schedules;
  • Attends Degree Works related training and development activities to keep up-to-date with software upgrades and SUNY Seamless Transfer;
  • Assists with SUNY DW Transfer Finder, SUNY Reverse Transfer and other SUNY transfer initiatives;
  • Participates in SUNY organizations that handle the Office of the Office of Records and Registration functions, transfer credit processes, athletic compliance and Degree Works and seeks opportunities for professional development in these areas when offered;
  • Performs other duties related to this job description and as assigned by the Director of Records and Registration.

  • One (1) year of professional office experience
  • Self-motivated

  • Ability to work with technical as well as non-technical issues
  • Effective organizational, prioritization and communication skills
  • Ability to interact with a diverse group of students and employees


Preferred Qualifications:

  • Master’s degree
  • Two (2) years of experience in a College setting
  • Familiarity with student records
  • Familiarity with Banner, student information system software, and/or report writing software
  • Knowledge of NJCAA rules
