College of Southern Idaho is Hiring a Community specialist Near Twin Falls, ID

Job Description

The Community Education Specialist is part of the Community Education & Special Events Department at the College of Southern Idaho.

Duties are divided between Community Education and other Box Office related events, with a specific focus on the Arts on Tour performance series.

The role works on-campus in the Fine Arts Center and reports directly to the Arts & Enrichment Coordinator.

Tasks & Duties

Perform daily administrative tasks including :

  • Greet and work with members of the public on various needs and inquiries.
  • Answer and respond to phone calls and emails.
  • Receive and receipt funds and process refunds.
  • Maintain inventories and order supplies as needed.
  • Create, review and process expense reports and invoices.
  • Receive and send mail, including occasional bulk mailings.
  • Update Fine Arts and Community Education websites.
  • Provide additional support as needed and directed.

Oversee Community Education courses, youth camps and instructors including :

  • Meet with instructors and advise them on Community Education processes and expectations.
  • Facilitate the development of new Community Education offerings.
  • Onboard and offboard instructors, including coordination with Human Resources and Information Technology.
  • Reserve facilities, and procure necessary equipment and supplies for courses and camps.
  • Set up courses and camps online, monitor enrollment, process changes and ensure proper release forms and policies are in place.
  • Assist students with course and camp registrations.
  • Prepare course and camp packets for instructors and students and assist with room setup.
  • Ensure all tuition and fees are collected for courses and camps, facility use fees are paid, and instructor timesheets are submitted.
  • Undertake student check-ins for camps.
  • Troubleshoot issues with facilities, instructors and students.
  • Notify instructors and students of course and camp changes, cancellations, and other important issues.
  • Maintain accurate and timely data and information on program activites.
  • Track, evaluate and adjust courses and camps for viability and sustainability.
  • Procure and manage sponsorships and external funding support.
  • Provide additional support as needed and directed.

Manage Community Education marketing for courses and youth camps :

  • Create, and oversee the creation of, digital and physical marketing materials such as postcards, posters, emails, brochures, videos, PSAs, etc.
  • Update CSI and community events calendars.
  • Manage and post on social media accounts.
  • Capture content (photo, video, testimonial etc.) to be utilized in marketing efforts.
  • Track, evaluate and adjust tactics to maximize return on investment.

Assist with Box Office performances :

  • Work within the ticketing system to set up events, sell tickets, process refunds and troubleshoot account issues.
  • Assist with announcements for performances, special events, date changes and cancellations including mailers, emails, posters, phone calls, etc.
  • Assist with show preparation including procurement of supplies.
  • Assist with marketing, capturing content (photos, video, etc.), and creating programs.
  • Work performances (including evenings and weekends) : set up / tear down, sell tickets, usher, sell merchandise, troubleshoot issues, etc.
  • Assist in the procurement and management of sponsorships and external funding.
  • Oversee volunteer pool and provide additional support as needed and directed.

Other :

  • Assist in the hiring, training and managing of work study students.
  • Manage patron, student and instructor information as well as program files confidentially and in accordance with guidelines and policies.
  • Establish and maintain cooperative working relationships with students, instructors, patrons, staff, faculty, and administrators.
  • Assist with additional campus or Fine Arts programs as needed and directed.

Requirements, Skills & Expectations

The Community Education Specialist will be expected to interface with the public daily and positively represent the program and college throughout the community.

Candidates must be well organized, maintain appropriate records, and possess excellent customer service skills. This position also requires strong computer and writing competency, as well as the ability to be very detail oriented.

A High School Diploma or equivalency is required. Past experience with event planning or management, course development, graphic design, marketing or cashiering is beneficial.

A willingness to undertake and learn new skills or programs, promote a positive environment that supports efficiency, creativity and teamwork is essential.

Individuals who are self-motivated, able to complete duties with little or no direct supervision, have an appreciation for performing arts, and are passionate about serving the community will be a perfect fit for this role.
