Job Summary: Processing incoming faxes, scanning documents, filing within the EHR (Electronic Health Record). Sending and retrieving medical records, managing the EHR document holding tank. Assist front office staff and cover PTO. Other duties as assigned.

Medical Records Responsibilities: Primary

  • Process incoming faxes.
  • Scan or transfer documents into NextGen.
  • Understand NextGen “Categories” for filing.
  • Understand NextGen document types.
  • File documents within NextGen
  • Understand HIPAA (Health Insurance Portability and Accountability).
  • Understand PHI (Protected Health Information).
  • Participate in huddles.
  • Maintain Rosetta holding tank.
  • Process incoming records requests.
  • Retrieve records as needed.
  • Send Chart notes and patient plans

Office Assistant Responsibilities: Secondary

  • Check patients in.
  • Answer the phones.
  • Cover breaks and PTO.
  • Other duties as directed.

Qualifications: High school graduate. Knowledge and experience with Microsoft Office Suite. Strong written, verbal, typing and grammar skills. Positive attitude with pleasant personality. Ability to multi-task in a fast-paced environment with multiple interruptions.

Skills and Abilities:

  • Operate a computer, and related software such as NextGen, Outlook and Microsoft Office Suite.
  • Operate a scanner.
  • Operate a multiline phone system.
  • Ability to speak clearly, concisely and with confidence.
  • Able to read, understand and follow verbal and written instructions.
  • Maintain a positive and effective working relationship with patients, employees, and visitors.
  • Able to be efficient and accomplish tasks on a timely basis.
  • Able to work independently.

Physical Requirements:

  • Sitting, standing, and walking throughout the day.
  • Stooping, bending, and stretching.
  • Occasional lifting of files, paper or items weighing up to 30 pounds.
  • Manual dexterity sufficient to operate a keyboard, calculator, telephone, copier, and other office equipment.
