JOB SUMMARY

This position provides administrative support in the accounting department, specializing in areas of billing by verifying and entering customer shipment transactions, verifying and posting system generated journal entries, processing RMA’s, entering approved month end journal entries and the coding of freight invoices. This is an on-site position.

ESSENTIAL DUTIES & RESPONSIBILITIES

• Perform the processing of ship verifications for all product lines for daily invoicing accurately and timely, including the daily document pick up for UPS, truck load, and all other shipping papers, while ensuring proper cut-off and timing of sales and month end business requirements.
• Complete, submit and distribute (via email) daily shipment reports prior to the daily production meeting.
• Code freight bills, scan and send to freight auditor weekly.
• Complete the Returned Material Authorization (RMA) process by writing debit/credit memos as directed by Sales and Service Departments. Ensure correct inventory transactions are made.
• Generate Open Order Register Report, verify and update information as necessary to ensure all orders are invoiced on a monthly basis.
• Separate and mail customer invoices for all product lines.
• Maintain UPS Tracking logbooks with accuracy and detail.
• Collect and prepare support for the annual internal audit.
• Perform monthly account reconciliations.
• Key in approved month end journal entries for final review.
• Maintain Accounting department records (physical and electronic) in accordance with the Company record retention policy.
• Conduct research with the appropriate department when errors or discrepancies arise and identify areas for improvement.
• Serve as a backup to ensure process continuation in designated areas, such as verifying and balancing the daily, weekly, and monthly sales analysis, managing receivers and other duties while other accounting staff are absent.
• Provide backup support for the receptionist as needed.

EDUCATION, EXPERIENCE & SKILLS

• 2-year degree in accounting required.
• Ability to work independently with a high degree of attention to detail with numbers.
• Proficient in Microsoft Office, especially Excel, 10 key.
• Ability to frequently visit shop floor on daily basis required.
• Occasional overtime is required, especially on the last business day of the month, to meet operational business needs.
• Ability to lift up to 25 pounds occasionally.
