TITLE: School Secretary – Ten Month
(Salary-Non-Exempt)
QUALIFICATIONS: High School Diploma or Equivalency Certificate; demonstrated aptitude or competence for assigned responsibilities, such alternatives to the qualifications as the Board may find appropriate and acceptable; ability to exercise tact and cooperation in dealing with Board of Education personnel, staff, and students, and/or outside agencies and the general public.
Physical Requirements: Sufficient manual dexterity
to enable operation of typewriters and computer
keyboards: ability to communicate well verbally
and in writing; good vision and hearing. Position
often requires sitting and performing repetitive tasks
for extended periods of time. Position requires
occasional lifting of boxes up to 25 pounds.

JOB GOAL: To contribute to effective school-public relations by prompt and courteous handling of all inquiries and visitors; to contribute to the efficient operation of the office so that it can play its effective art in the education process; to assist and relieve administrative supervisor of paperwork and impedimenta so that maximum attention can be devoted to the central problems of education and educational administration.
PERFORMANCE RESPONSIBILITIES:
- Code Absentees/Tardies in the computer daily.
- Write early dismissal notes for students leaving school early.
- Stamp and file Absence Excuse form notes for students and file notes in each student’s attendance folder.
- Run Power Teacher Attendance Reports, for each period to make sure teachers have submitted attendance, as well as from KAP.
- Run an Absentee list for Teachers of students who are absent from 1st period and submit electronically via Email.
- Run a Class Attendance Audit sheet each day for 1st period Teachers and put in binders and have each teacher sign.
- Run a final Attendance Report at the end of each day making sure all absences/tardies are coded accurately and correctly.
- Run Monthly Attendance Audit Sheets, review for accuracy and have each teacher sign.
- Periodically check throughout the day by running an Attendance Report to see where students are and if not in class, report findings to Administration.
- Run Attendance Summary Reports each month for the Superintendent.
- Run a report at the end of each quarter for Guidance and Attendance Specialist of students who have more than 3.5 unexcused absences to tract possible attendance failures (coincide with new Attendance/Grading Policy).
- Work closely with Guidance and Attendance Specialist to track student’s Attendance.
- Run report of students with excessive absences/tardies and mail letters to parents/guardians 2 times each week.
- Write and send letters to parents/guardians when students have reached 3 parent/guardian notes per quarter.
- Code Suspensions for student’s behavior in PowerSchool and mail letter to parent/guardian, as well as request schoolwork from teachers. If a 10 day suspension is required additional paperwork must be sent to the Board Office.
- Send homework requests and collect work via Email to Teachers when students are absent from school for an extensive period of time.
- Keep track of students who are on Home Hospital, starting and ending dates as well as the signed paperwork from the doctor’s offices.
- Run report at the end of each quarter for perfect and 3 or less absences for prizes to be given to 2 students.
- Beginning each school year, responsible for organizing 1st day packet information for Teachers to distribute to students.
- Beginning of school year set the school calendar into PowerSchool.
- First two weeks of school responsible for Enrollment Reporting forms, gathering physical attendance from each 1st period class and submitting findings each day.
- Prepare bulletin board outside Attendance Office & update guidance board.
- Provide secretarial support to Front Office when needed and when secretary is out, and cover her lunch each day.
- Prepare for the State Audit every 2 years for a group of selected students (approx. 60) from the 1st 2 months of school, making copies of Class Attendance Audit sheets and making sure each sheet is signed by the teachers and put in folders.
- Take directions from immediate supervisor.
- Maintain confidentiality and good public relations.
- Welcome visitors courteously and determine their needs.
- Screens unexpected callers in accordance with predetermined policy.
- Receives and routes all incoming calls.
- Answers questions of callers according to school policy.
31. Maintains an attractive and comfortable office.
32. Performs the usual office routines and practices associated with a busy yet productive and smoothly run office.
- Performs such other tasks and assumes such other responsibilities as assigned.
TERMS OF EMPLOYMENT: As found in the Agreement Between the Kent County Educational Support Personnel Association and The Board of Education of Kent County. Ten (10) month position.
SALARY LANE: Secretary Lane “P”. Step established by the Superintendent.
BARGAINING UNIT: Kent County Educational Support Personnel Association.
FLSA STATUS: Non-Exempt.
EVALUATION: Performance of this position will be evaluated in accordance with provisions of the Board’s policy on Evaluation of Support Personnel.
