As an Admissions Lead, you are responsible for a wide range of operations and activities pertaining to patient registration and admissions, including but not limited to, financial counseling, insurance verification, pre-registration, service scheduling, thorough documentation and will act as a resource for admission staff, answering questions related to processes and workflow. This position will ensure that department productivity and quality expectations are met in the work area.

Requirements:

  • Associate degree and/or skilled training in related field
  • Minimum of two years’ experience in related field
  • Effective communication and computer skills
  • Multi-tasking ability, organizational skills, ability to work independently, problem solving techniques, and strong interpersonal skills

Responsibilities:

  • Prepare and communicate daily admissions and patient census to staff as well as communicate daily workflow to team members.
  • Ensure timely follow-up regarding phone messages and confirm all calls have been returned while documenting all transactions in the i-carol database.
  • With direction from the Executive Director develop and maintain staffing schedules for the department and assume responsibility for scheduling relief and/or covering vacant positions as they occur.
  • Report any departmental issues or concerns to Executive Director including attendance and behavioral problems by departmental staff.
  • Ensure all registrations and admissions are thoroughly screened for insurance coverage and have required pre-authorizations prior to patient’s arrival, to safeguard the company’s accounts receivables and determine patient responsibility and cash collection at the time of service; communicate any red flag indicators or potential admissions to Executive Director and Clinical Director.
  • Monitor the staff to verify that they are thoroughly gathering patient demographic and financial information to maximize payment for services rendered and ensure all information is properly documented. Report on any inconsistencies to Executive Director.
  • Thoroughly explain and secure necessary patient legal forms as well as advise patient and family about the financial liabilities.
  • Collect and process payments – make two copies of receipts - one for the payment box and one for the client’s financial chart, scan and attach to client’s QD account – must record in QD payment2 form.
  • Educate family on the program and inform them of meetings and processes which will involve them. If the client is an AMA risk clinical needs to be notified immediately. This information must be documented in QuicDocs (QD) as an incidental note.
  • Collect, interpret, and evaluate narrative and statistical data pertaining to administrative, fiscal management and patient matters by the 3rd of the month; prepare reports memoranda and other documents as needed.
  • Establish and maintain cooperative working relationships with others including physicians, nurses, executive directors, managers, vendors, contractors, and other personnel.
  • Demonstrate and exemplify excellent customer service skills that are expected by Admissions and promote these skills in the work area.
  • Complete projects and other duties as assigned by Executive Director, including preparation for audits, inspections, and re-accreditation.
  • Understand, interpret, and apply laws, rules, and regulations and policies related to admissions and drug treatment facilities.
