SIU HealthCare is Hiring a Program coordinator Near Quincy, IL

Description

This position supports the professional medical education activities for the family medicine residency in Quincy. This position serves as the primary contact for organizations that have an agreement with the Center to coordinate learning experiences for residents and medical students.

The individual in this position assists the Program Director in coordinating educational experiences for rotations, facilitates all accreditation and licensure issues, provides administrative and technical support in program development, curriculum-related activities, and developing and documenting evaluation criteria for residents.

In addition, this position plays a major role in the recruitment efforts for the training programs and as an administrator of New Innovations for the residents.

Examples of Duties

80% Quincy Residency

Organize and coordinate the entire residency recruitment process to include the following :

a. Coordinate participation in residency recruitment activities.

b. Develop and revise residency brochures for distribution to potential candidates.

c. Serve as initial contact for all residency candidates for the Quincy Program.

d. Review all applications from prospective candidates for completeness and perform the initial screening process using established holistic guidelines.

e. Oversee the interview process and serve as the initial contact for all residency candidates for the Quincy Program.

g. Coordinate the evaluation process of the program applicants along with ranking meetings.

h. Submit the final ranking for submission to the NRMP.2. Responsible for maintaining portfolios for all residents on their three-year experience : personnel records, legal papers, contracts, demographic data, licensing and testing information, absence requests, evaluations, and other related materials.

3. Maintain a database of past residents / fellows, contacting them periodically to verify practice data and to survey them on educational issues.

4. Responsible for tracking and notification of resident Absence requests5. Monitoring residents compliance with Duty Hour logging and adherence to OGME Duty Hour Policy.

6. Monitoring residents compliance with Medical Record Delinquent Policy with the clinic Medical Director and HCA personnel.

7. Administer and proctor all in-training assessment tests given to residents.8. Coordinates the orientation for all new residents.

9. Coordinates yearly Faculty / Resident poster10. Attend and staff the Faculty meeting, Residency Education Committee, OGME coordinator meetings, CCC, PEC, and the Resident Curriculum Committee meetings11.

Serve as liaison for all inquiries and requests from the American Board of Family Medicine, American Academy of Family Physicians and the Illinois Academy of Family Physicians.

12. Serve as liaison with sister family medicine program sites with regard to residency issues.13. Works closely with Blessing Hospital on event planning for residents and budget submission.

14. Works closely with Blessing Hospital on resident renewal contracts, reimbursements, and training information.15. Works closely with Blessing Hospital in the ordering of yearly recruitment supplies 16.

Works closely with MEPS and faculty on scheduling resident didactics.

20% Software and Computer Programs

1. Master and serve as the main contact for the following computer programs :

Electronic Residency Application System (ERAS) a national program that processes applications for residency programs and is used in the National Match Program.

This will require learning how to evaluate and filter applications, run reports and print off applications.

  • National Resident Match Program (NRMP) Annual entering of candidate rank list using the NRMP platform for Program Director verification and final submission.
  • Accreditation Council for Graduate Medical Education (ACGME) Web Ads Annual updating of Program documents is required by the ACGME to meet accreditation standards.

This also includes submitting the Annual Program Evaluation (APE) to the OGME.

  • American Board of Family Medicine (ABFM) Residency Training Management System (RTMS) Periodically, this position must enter and document resident progress and experiences to qualify for graduation and sit for the family medicine board.
  • New Innovations (NI) : a software program designed to assist with tracking data on residents throughout their educational experience this will require learning how to run the various reports, monitoring duty hours for all residents, and sending out evaluations to preceptors.
  • SIU Website work closely with Quincy Marketing to maintain up-to-date information on the SIU website.

Qualifications

  • High school diploma or equivalent.
  • Any one or combination totaling four (4) years (48 months), from the categories below : College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent : 30 semester hours equals one (1) year (12 months)Associate?

s Degree (60 semester hours) equals eighteen months (18 months)90 semester hours equals two (2) years (24 months)Bachelor?

s Degree (120 semester hours) equals three (3) years (36 months)Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems

Work experience totaling one (1) year (12 months) comparable to that gained at the Medical Education Program Specialist level or similar experience within a medical education program.

Please Note : Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.

Condition of Employment : Pursuant to the State Universities Civil Service System, an out-of-state resident who is hired into this position must establish Illinois residency within 180 calendar days of their start date.
