Overview

Our client, West Michigan Family Medicine is seeking a highly organized and motivated individual to fill the role of Family Practice Office Manager. The ideal candidate will have a strong background in healthcare administration, excellent communication skills, and a commitment to providing top-notch patient care. As the Office Manager, you will play a key role in overseeing the day-to-day operations of our family practice, ensuring efficiency, compliance, and a positive patient experience.

Responsibilities

Administrative Oversight:

  • Manage the daily administrative operations of our office
  • Oversee scheduling, appointment booking, and patient registration processes
  • Maintain accurate and up-to-date patient records, ensuring compliance with privacy regulations.

Staff Management:

  • Supervise and lead administrative staff, including receptionists and medical office assistants
  • Conduct regular staff meetings to communicate updates and address concerns
  • Facilitate training for new staff and ensure ongoing professional development.

Financial Management:

  • Work closely with billing and coding staff to ensure accurate and timely submission of claims
  • Monitor and manage office budgets, expenses, and financial reporting
  • Implement strategies to optimize revenue cycle management and minimize billing errors.

Compliance and Quality Assurance:

  • Ensure compliance with all healthcare regulations and accreditation on standards
  • Implement and monitor quality assurance programs to enhance patient care
  • Conduct regular audits to assess compliance with internal policies and procedures. 

Patient Experience:

  • Foster a patient-centric environment by promoting excellent customer service
  • Address patient concerns and feedback promptly and effectively
  • Collaborate with healthcare providers to enhance the overall patient experience.

Technology Integration:

  • Oversee the implementation and maintenance of electronic health record (EHR) systems
  • Collaborate with IT support to address any technical issues and optimize workflow
  • Stay informed about industry trends and emerging technologies in healthcare administration.

Qualifications

  • Bachelor's Degree in Healthcare Administration, Business Administration or related field
  • Proven experience in a healthcare management role, preferably in a family practice setting
  • Strong knowledge of healthcare regulations, billing practices and compliance requirements
  • Excellent organizational, communication and interpersonal skills
  • Proficient in using healthcare management software and electronic health records
  • Leadership skills with the ability to motivate and manage a diverse team
  • Detail-oriented with a focus on accuracy and efficiency.
