The Office Manager is responsible for overseeing the daily functions of the dental office. The Office Manager reports directly to the Area Manager or Regional Director. The Office Manager works with the site’s Dental Director and Clinical Manager/Coordinator to manage the everyday operational functions. Duties and responsibilities of the Office Manager include, but are not limited to:
DUTIES AND RESPONSIBILITIES:
Operations
1) Providing oversight and direction to the administrative team and treatment coordinator to ensure the consistent delivery of adequate customer service;
2) Participating in the interview process of all potential staff and providing support in the orientation and training of new employees;
3) Collaborating with the Chief Operating Officer, Regional Director, and other clinic management to ensure consistent and efficient operation of the office including staffing, training, and scheduling;
4) Leading, inspiring, and motivating others to perform and develop in their respective duties;
5) Manage and direct staff assignments and activities, in accordance with office policy and applicable laws;
6) Participate in marketing goals and objectives;
7) Oversee patient relationships and manage patient complaints;
8) Coordinate staff meetings in collaboration with the Dental Director and Clinical Manager/ Coordinator;
9) Engage in conflict resolution and conduct disciplinary action when necessary;
10) Ensure compliance of all office staff to HIPAA regulations relating to patient records and privacy as well as state and federal regulations governing clinical practice;
11) Take initiative to identify and execute ways to continually improve individual and practice performance;
12) To the extent possible, help others perform their tasks when overloaded or backed up or to otherwise increase the operational and emotional performance of the practice.
