Ironside is seeking a skilled Proposal Coordinator with technical writing capabilities to join our professional services team. The ideal candidate will be responsible for overseeing the end-to-end proposal process, from initiation to submission, ensuring the delivery of high-quality proposals that meet client requirements and deadlines. This role requires excellent communication skills, attention to detail, and proficiency in Word and PowerPoint.

Responsibilities:

Proposal Coordinator:

  • Run the proposal development process, coordinating with internal stakeholders to gather necessary information and resources.
  • Develop proposal outlines, schedules, and templates to streamline the proposal creation process.
  • Manage proposal timelines and ensure adherence to submission deadlines.
  • Conduct regular meetings to track progress, assign tasks, and address any challenges or concerns.

Technical Writing:

  • Write and edit proposal content, ensuring clarity, accuracy, and alignment with client requirements.
  • Translate technical concepts and solutions into clear, compelling language tailored to the target audience.
  • Collaborate with subject matter experts to gather technical information and incorporate it effectively into proposals.
  • Review and refine technical documentation, ensuring consistency and adherence to company standards.

Quality Assurance:

  • Conduct thorough reviews of proposal content to identify and correct errors, inconsistencies, and areas for improvement.
  • Ensure that proposals are compliant with all relevant regulations, guidelines, and standards.
  • Implement best practices for proposal development and continuously seek opportunities to enhance the quality and effectiveness of proposals.

Client Engagement:

  • Interface with clients to understand their needs, preferences, and expectations regarding proposal content and format.
  • Tailor proposals to address client-specific requirements and demonstrate a deep understanding of their business challenges and objectives.
  • Provide support during client presentations, including developing PowerPoint presentations and other visual aids.

Documentation and Reporting:

  • Maintain accurate records of proposal activities, including versions, revisions, and feedback.
  • Generate reports on proposal performance metrics, such as win rates, proposal cycle times, and client feedback, to inform process improvements and strategic decision-making.

Requirements:

  • Bachelor's degree in English, Communications, Business, or a related field.
  • Proficiency in Microsoft Word and PowerPoint, with the ability to create visually engaging presentations.
  • Proven experience in proposal management and technical writing, preferably in a professional services environment.
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • Strong organizational and project management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Familiarity with proposal development best practices, including solutions, competitive analysis, and pricing strategies.
  • Ability to work collaboratively with cross-functional teams and build positive relationships with internal and external stakeholders.
  • Knowledge of industry-standard proposal management tools and software is a plus.
