Description
The Education and Labor Cabinet’s mission is to educate, prepare and train Kentucky's current and future workforce. The Office of Vocational Rehabilitation empowers individuals with disabilities to maximize employment, achieve economic self-sufficiency and independence, and to contribute back to society. We also help businesses and employers recruit, retain and accommodate employees with disabilities.
We are seeking a Administrative Specialist to provide professional support to staff in the Office of Vocational Rehabilitation East Jefferson District in the review, evaluation, development and implementation of agency's activities and performs other duties as required.
Key Responsibilities:
  • Provides professional support to Office of Vocational Rehabilitation (OVR) counselors on plan implementation and case processes.
  • Assembles and maintains records to track consumer data, new applications, and new referrals.
  • Requests case records.
  • Generates reports in the Case Management System (CMS) and Crystal.
  • Utilizes CMS, authorize and track caseload expenditures as directed by counselors following agency purchasing policies and procedures.
  • Monitors caseload budget, resolves vendor issues, and set up new vendors as needed.
  • Ensures proper expenditure codes and budget codes are used.
  • Reports and monitors counselor caseloads.
  • Archives closed cases in compliance with regulations.
  • Serves as the primary contact for consumer calls to assist in the resolution of routine issues and/or problems and provides general information regarding OVR mission, policies and purpose and schedules appointments for consumers as needed.
  • Participates in the development of process improvements in the provision of services.
  • Reviews, compiles and/or prepares operational records and reports for compliance.
  • Provides assistance with routine office procedures such as maintaining office supplies.
  • Provides office coverage for district if needed.
  • Performs other duties as assigned.

Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor's degree.
EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.
Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.
SPECIAL REQUIREMENTS (AGE, LICENSURE, REGULATION, ETC.): NONE
Working Conditions
Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
