Johnson Investment Counsel is Hiring a Front Desk Associate Near Kenwood, OH

Summary / objective of position:
The Front Desk Associate is the first point of contact for Johnson Investment Counsel telephone calls, clients and visitors. This individual is responsible for answering telephones, directing calls, managing company calendar and greeting visitors. The Front Desk Associate maintains the appearance of the lobby and provides refreshments in conference rooms for prospects and clients.
Essential functions of position:
  • Open lobby and turn lights on in key areas of the front office, unlock doors and sweep front porch area as necessary
  • Receive incoming calls on multiple lines and announce caller to employees; follow up with message as necessary or place in employee’s voicemail
  • Maintain daily calendar and assign conference rooms for meetings
  • Set up refreshments and fill ice buckets for conference rooms
  • Greet clients and escort them to assigned conference room; prepare coffee upon request
  • Maintain conference rooms and remove glassware, utensils and coffee pots; wash and restock inventory
  • Responsible for distribution of client and employee event tickets
  • Knowledge of workroom equipment operations and troubleshoot issues (copiers, fax machine, postage machine, etc.)
  • Preparing Fed Ex envelopes / shipments for pick up.
  • Distribute incoming mail, Fed Ex, UPS, faxes and all deliveries.
  • Check local paper daily for client obituaries
  • Responsible for distribution of newspapers i.e. Wall Street Journal, Business Courier, etc.
  • Support various departments with miscellaneous tasks (event invitations, Christmas Cards, client gifting, purchasing and recording in spreadsheet etc.)
  • Help to take inventory, order supplies and restock workroom / kitchen
  • Assist CSA’s with filing & misc. work
  • Filing management agreements & W-9s
  • Tearing down and filing WMRs
  • Execute in house lunches and client events
  • Address and mail client birthday cards.
  • Print collateral materials, such as brochures and assemble as needed
  • Close lobby at end of business day, secure front doors and file drawers, and turn off lights
  • Willingness to occasionally trade days / fill in as the needed
Preferred education and experience
  • High school degree
  • Excellent communication skills and attention to detail
  • Excellent telephone etiquette
  • Professional appearance and outgoing personality
  • Basic software knowledge (Microsoft Outlook, Word and Excel)
  • Previous multi-line telephone experience a plus
  • Flexibility to cover the front desk on unscheduled days and to work with the other part-time receptionist to cover vacations and other days off.
  • Ability to work in a team environment
  • Ability to work within deadlines
  • Confidence in decision making
  • Public speaking ability
  • Effectively establish and maintain positive relationships with all staff levels
  • Notary or willingness to obtain notary

Work environment: Temperature controlled, office environment.
Physical demands: Must be able to stand or sit at computer for 8 hours per day. May require extensive typing at times.
