NORTHWEST INDEPENDENT SCHOOL DISTRICT
Job Title: District Receptionist/Clerk (0412) Reports To: Executive Director of Human Resources Dept./Campus: Human ResourcesWage/Hour Status: Non-Exempt Duty Days: 235 Days Pay Grade: P30 Date Revised: 05/2024Primary PurposeGreet and assist visitors, answer phones, and direct calls. Supervise reception area and provide clerical assistance for the efficient operation of the central administration office. Manage meeting room bookings for the Administration Building. Serve as the Spanish translator for the district; if applicable.
Qualifications
  • College hours, high school diploma or GED
  • Ability to communicate fluently in Spanish and English preferred.
  • Ability to read Spanish and English preferred.
  • Ability to write Spanish and English preferred.
  • Ability to translate from English to Spanish for written communications throughout the district preferred.
  • Proficient keyboarding, word processing, and file maintenance skills
  • Excellent organization, communication, and interpersonal skills
  • Office experience
  • Ability to operate a multi-line phone system.
  • Successful work experience, preferably in a school setting
  • Excellent communication skills
  • Experience in word processing and spreadsheet applications, ten-key calculator, fax, general bookkeeping.
  • One-year clerical experience in an office setting
  • Ability to present professional and pleasant manner at all times with staff, parents, and community members.
  • Ability to work with distractions and busy surroundings.
Major Duties And Responsibilities
  • Greet and assist visitors and district personnel entering administration building.
  • Handle routine information requests from callers and visitors.
  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Assist public, staff, and students as needed.
  • Fully utilize the established visitor check in and out procedures using the Raptor system.
  • Maintain and schedule meeting rooms within the Administration Building. Communicate technology needs, room setup, and other facility-use requests with appropriate staff members.
  • Fill requests for information by fax, mail, or e-mail.
  • Provide necessary training to substitutes and administration staff regarding the receptionist duties.
  • Confidentially handle incoming and outgoing mail as directed by the Superintendent’s office.
  • Punctual arrival time daily
  • Prepare documents, spreadsheets, and presentations utilizing Microsoft Office.
  • Collate information packets; prepare packets for mailing.
  • Maintain confidentiality.
  • Maintain a calm and professional demeanor during a crisis situation.
  • Assist District Records Manager with student transcripts request and distribution.
  • Assist in the maintenance of electronic employee files.
  • Distribute employee contracts upon Board approval.
  • Other duties as assigned.
Equipment UsedPersonal computer, printer, copier, calculator, multi-line phone system, and fax machine.
Working ConditionsMaintain emotional control under stress; work with frequent interruptions; ability to work independently. Position requires prolonged periods of sitting. Position requires frequent bending, stooping, twisting, pulling, overhead reaching, sitting, and keyboarding. Position requires the ability to lift 25 pounds to waist high.
