SUMMARY

The Accounts Receivable Coordinator’s primary overall role of this position is to ensure the timely and accurate application of customer account payments. This is a hands-on position that records payments to customer accounts while also tracking, identifying and communicating any account discrepancies to customers and to the internal functional manager. The person in this role takes ownership of and exercises diligent oversight of the A/R function and reports daily/weekly/monthly metrics and KPI’s as warranted.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ensure timely and accurate application of customer account payments.
  • Generate and issue accurate and timely invoices to customers.
  • Assists the Customer Fulfillment Lead in working with customers, brokers and salespersons via email, fax or telephone to manage order processing.
  • Demonstrate ability to identify and resolve issues effecting overall service to the customer and positively influence service outcomes.
  • Perform order-entry functions manually or via EDI, ensuring all orders received are processed timely and accurately.
  • Utilize MS Business Central (BC) reporting to view inventory and order history respectively to provide support to customers and internal key contacts.
  • Communicate product specifications, availability, lead times, transit times and product pricing to customers and broker representatives.
  • Maintain organized filing system for shipping documentation.
  • Coordinates with logistics provider and/or directly with customers to schedule product and finished goods shipments.
  • Records customer feedback, coordinates product returns, and creates RMA’s as needed.
  • Enters sample requests orders, picks and packs partial case sample requests and coordinates shipping.
  • Required to attend initial and annual training for GMP, HACCP, SQF and Food Defense.
  • Must be able to successfully demonstrate knowledge to the above topics and adherence to current Good Manufacturing practices.
  • Additional tasks and priorities as assigned.

QUALIFICATIONS

  • High school diploma or equivalent is required.
  • 2 – 3 years customer service or related experience, or combination of experience and training.
  • At least one year experience in an industrial manufacturing/warehouse environment highly preferred.
  • Experience using computers and MS Office required; experience using an ERP system desired.
  • Basic mathematical skills required.
  • Steadfast attention to detail.
  • Self-starter, hardworking with a positive, team-centered attitude.

SUPERVISORY RESPONSIBILITIES

There are no supervisory responsibilities with this role.

COMPUTER SKILLS

Performs basic database updates, queries and searches, and printing of labels.

LANGUAGE SKILLS

Ability to communicate with co-workers and/or read instructions or written standards for production in English

MATHEMATICAL SKILLS

Ability to perform or learn basic mathematic skills as needed, such as production yield.

REASONING ABILITY

Ability to apply common sense understanding to carry out basic step instructions. Ability to deal with standardized situations with only occasional or limited variables.

While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand and use hands to finger, handle, or feel and occasionally required to walk, reach with hands and arms, and taste or smell. This role must frequently lift and/or move up to 30 lbs. and occasionally lift and/or move up to 50 lbs. Utilizing a powered industrial lift, the ability to move and maneuver finished goods pallets as needed.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception.
