Harvard Community School District 50 is Hiring a Human Resource Associate (entry level) Near Illinois, IL

Job Title:

Human Resource Associate

Job Summary:

The Human Resource Associate will perform administrative tasks and services to support effective and efficient operations of the organization's human resource department.

Qualifications:

High School Diploma or equivalent

At least three (3) years experience in customer service

Expert knowledge of Microsoft Office products and Google Suites

Evaluation:

The performance will be evaluated at least annually by the Assistant Superintendent.

Reports to:

Assistant Superintendent 

Terms of Employment:

This position is based on a 12-month confidential position, with salary and benefits determined by the Board of Education. Employment terms are subject to the guidelines outlined in Board Policy.

Duties and Responsibilities:

General Human Resource Duties

  1. Assists the Assistant Superintendent in the basic function of the Human Resources department. 
  2. Focuses on customer service, creating a positive climate of respect and trust. 
  3. Participates in developing department goals, objectives, and systems.
  4. Assists in the development and implementation of district policies and procedures. 
  5. Administers various Human Resources plans and procedures.
  6. Administers aspects of performance management, systems, and processes.
  7. Participates in administrative training and meetings, Human Resources Departmental staff meetings, District committees, seminars, conferences, etc.
  8. Supports all members of the HR Department in maintaining the electronic personnel record system and ensures compliance with State regulations.
  9. Maintains strong communication with employees.
  10. Receives and responds promptly to emails, written correspondence, and telephone inquiries. 
  11. Assists other colleagues in the HR Department.
  12. Ensures all confidentiality of personnel records and information. .

Recruitment and Retention

  1. Reaches out to all new employees energetically and positively to assist them in completing onboarding materials.
  2. Schedules onboarding meetings for new employees.
  3. Organizes new hire orientation materials.
  4. Takes all employees’ pictures to prepare for their staff badge.
  5. Performs employment verifications for all employees. 
  6. Performs fingerprints for state and federal background checks. 
  7. Conducts sex offender murder and violent offender checks. 
  8. Collects and verifies I-9s for employment. 
  9. Assists in updating, maintaining, and the organization of job descriptions within the record-keeping system. 

Absence Management

  1. Assists with training on absence management for all employees. 
  2. Monitors and analyzes attendance data. 
  3. Recommends solutions to absence management. 
  4. Communicates procedures and processes on absence management with building secretaries. 
  5. Onboards substitute teachers and organizes appropriate training.
  6. Coordinates daily scheduling for substitutes with building secretaries and administration. 
  7. Provides substitutes with letters of assurance. 

Curriculum and Instruction 

  1. Supports staff in course approval and tuition reimbursement process.
  2. Organizes and processes Professional Development Hours (PDHs) for staff to support their certification renewal process. 
  3. Facilitates the allocation of evaluations to the relevant personnel and actively promotes the effective utilization of the system
  4. Coordinates the registration process for staff professional development activities

  • Must demonstrate comprehensive knowledge of HR practices and employment laws 
  • Must maintain positive and respectful relationships with other employees and the general public 
  • Must demonstrate a record of effectiveness in their work
  • Must have excellent planning and organization skills
  • Must have the ability to work collaboratively with others
  • Must model a desire and willingness to learn continually
  • Must be able to perform several tasks concurrently under varying deadlines
  • Must be able to communicate clearly and concisely, both orally and in writing, including clear, polite telephone communication skills
  • Must be able to work efficiently under minimum supervision

Physical Demands:

The physical demands of this position include frequent sitting and standing for extended periods of time. Employees may reach overhead and above the shoulders and horizontally and occasionally move or lift items to 50 pounds. Regular attendance on the job is expected.
