Position Title: Order Entry Representative
Reporting Structure: Reports to the Fleet Manager
Work Schedule: Typical hours are Monday – Friday, 7:00am – 4:00pm
Additional hours and fluctuations in schedule may be required according to current business demands and/or assigned territory.
General Description: The basic function of the Order Entry Representative is to ensure all orders are entered correctly and efficiently. This position will also be responsible for assisting in solving customer complaints and to make sure orders are serviced properly (ie. Pick-ups are made in time, delivery times are kept, and the customer’s special needs are met)
Qualifications: Demonstrated good organizational, data entry and customer service skills. The ability to build relationships with customers and drivers and work well within a team environment. This position requires the ability to accurately enter orders into the computer in an efficient manner and deal with lots of details.
Essential Functions:
I. Order Entry
A. Enter orders into computer to ensure loads are delivered on time
1. Shippers name & address
2. Commodity being shipped
3. Delivery & pick-up address
4. Time to be delivered
5. Time to be picked-up
6. Special instructions (For example, equipment configuration, COD, etc.)
7. New customers, get credit check
8. Customer phone number and email contacts
II. Customer Service
A. Maintain set accounts of primary customers
B. Freight audit, make sure customers are billed properly
C. Advise customers of shipment status and additional information pertaining to shipment
D. Solve customer complaints
E. Answer customer questions
F. Follow-up on special instructions
III. Operations
A. Coordinate freight with operations
1. Where trucks are heading
2. Contact customers in advance of truck arrival
IV. Attendance
A. Do to the nature of this position it is important that you show up on time and on a regular bas
Work Environment:
This individual works in a professional office environment. The majority of time (approx. 90%) will be spent in an office or workstation seated at a desk. Remaining 10% will be spent in meetings in the office and off-site.
Physical Requirements:
Must be able to operate a personal computer. Must be able to communicate both verbally and in writing. No lifting, bending, stooping or reaching is required.
