Rane Property Management is Hiring a Maintenance Supervisor Near Hamburg, NY

POSITION SUMMARY:

The Maintenance Supervisor position is responsible for overseeing the physical assets, general maintenance repairs, apartment make-readies, and preventative maintenance and construction or rehabilitation projects for an apartment community. This position is also responsible for maintaining adequate inventory of supplies for repairs and monthly maintenance budget monitoring. The Maintenance Supervisor supervises on-site maintenance staff under the guidance of the Community Manager.

ESSENTIAL FUNCTIONS:

  • Tour property daily to assess maintenance needs and liability hazards and report to Community Manager
  • Repair hazards and/or assign tasks to maintenance technicians immediately
  • Schedule all maintenance activities, ensuring satisfactory completion and efficient use of resources
  • Determine weekly apartment make-ready and service request schedules
  • Inform Community Manager when apartments are ready to show
  • Effectively communicate assignments and major tasks to maintenance employees
  • Monitor work progress of maintenance employees; provide additional instruction/assistance as needed
  • Communicate with Community Manager, Housekeeper and Office regarding the scheduling of contractors for vacant/new move-in residents
  • Develop and maintain positive relationships with contractors and vendors
  • Inform Community Manager of employee performance, resident feedback, opportunities for improvement, etc.
  • Participate in hiring process for maintenance staff with Community Manager, including recruiting and interviewing
  • Coordinate, schedule, and perform preventative maintenance on equipment and apartments.
  • Establish maintenance priorities using service requests and schedules
  • Partner with Community Manager to determine service request/emergency priorities
  • Monitor the completion of service requests to limit callbacks
  • Repair/replace appliances, plumbing systems, air conditioning/heating/electrical systems, and any apartment material/maintenance requests within scope of management responsibility
  • Monitor the number of times a specific repair must be repeated and determine solutions to resolve the problem
  • Understand and adhere to all Occupational Safety and Health Act (OSHA) standards and company policies at all times
  • Walk all vacancies with outgoing residents to determine make-ready needs within 24 hours. Ensure all necessary repairs/replacements are completed for timely occupancy, including removal of all trash
  • Partner with Community Manager to make schedule and determine assignments
  • Schedule and provide safety and skills training for new maintenance employees, as well as recurrent training for current employees
  • Inspect dumpsters prior to weekly garbage collection to ensue pick-ups are complete
  • Maintain dog station cleanliness & readily available supplies
  • Assist contractor with any snow removal efforts including but not limited to: additional salting, shoveling in front of Clubhouse and/or resident garages, etc.
  • Working with the Community Manager, assess additional training needs of maintenance employees and provide one-on-one training, as needed.
  • Prepare, train, and encourage all levels of maintenance staff for promotion opportunities.
  • Secure storage/pool areas, check timers and listen for electrical and malfunctioning motors daily.
  • Complete written property safety audits quarterly.
  • Determine needed supplies and equipment with input from maintenance staff. Get approval from

Community Manager prior to placing orders for major expenditures (i.e. replacing carpet/appliances) and unbudgeted items.

  • Participate in planning next fiscal year budget in collaboration with the Community Manager
  • Assist with hazardous weather problems, fires, floods, freezes, etc.
  • Maintain overall organization and cleanliness of work areas and maintenance shops.
  • Required to work overtime and handle service calls after hours, as needed, based on type of service needed.

Rotate on-call schedule with sister property 1 week per month.

  • May be required to perform additional duties, as requested by the Community Manager

EDUCATION & EXPERIENCE:

  • High school diploma/GED required
  • 2-3 years prior maintenance experience required
  • Prior supervisory experience helpful

ADDITIONAL REQUIREMENTS:

  • To successfully fulfill the duties in this position, regular attendance is required
  • Knowledge of electrical, plumbing, painting, HVAC/AC, general maintenance required
  • Ability to communicate effectively, verbally and in writing with residents and staff
  • Basic computer knowledge helpful
  • Use of good judgement in making decisions
  • Must be able to work a flexible work schedule

DESCRIBE OFFICE/WORK ENVIRONMENT:
Work is primarily performed in an office/apartment setting with adequate workspace, lighting, ventilation, and comfortable temperatures. Work may also be performed outside.

PHYSICAL DEMANDS:

  • Constant standing, walking, bending, stooping, kneeling, reaching, and climbing ladders
  • Requires ability to lift/carry up to 50 pounds
