AT GLOUCESTER COUNTY, WE WELCOME NEW, DIVERSE TALENT! We are currently looking for the next Administrative Coordinator for our Planning and Zoning Department.

Under general supervision, the Administrative Coordinator performs a variety of moderately difficult and responsible technical / administrative duties to assist the Planning and Zoning Division of the Planning, Zoning and Environmental Programs Department.

Employee must exercise sound judgment, personal initiative, and discretion in completing assignments. Employee must also exercise considerable tact and courtesy.

The Administrative Coordinator reports to the Planning, Zoning and Environmental Programs Director.

Job Highlights

  • Answers telephone and greets visitors for the department.
  • Tracks sureties; receives and reviews zoning and planning applications for completeness and accuracy.
  • Prepares agenda and compiles supporting documents for PC monthly meetings.
  • Types material from typed or handwritten copy, machine dictation, or other means which requires use of a variety of complicated formats for preparing correspondence, memos, forms, advertisements, public notices, monthly operations reports, financial reports, etc.
  • Provides administrative support for various committees, public meetings, public hearings, and other activities associated with Planning and Zoning outreach.
  • Schedules meetings and appointments for Director and members of the Planning and Zoning Division.
  • Establishes and maintains a variety of files, records and directories / databases for Planning & Zoning and Planning Commission.
  • Responsible for bookkeeping functions within department; prepares vouchers and purchase orders; administers departmental P-card program;

maintains financial records for department; monitors expenditures; prepares report and assists with budget preparation.

Performs other duties as assigned.

Qualifications

  • Possession of an Associate's degree, with course work in administrative support, technology, business, or related field.
  • Three (3) to five (5) years of progressively responsible experience in administrative support services.
  • Any equivalent combination of education, training and experience that provides the required knowledge, skills, and abilities.

Special Requirements

Must be a commissioned Notary in the Commonwealth of Virginia or obtain Notary commission within 6 months of employment.
