- Daily:
- Post HOA checks received in office; scan & initiate electronic deposits to banks.
- Handle misapplied payments from bank and homeowner sides
- Process Late Fee & Fine waivers
- Post Lockbox files from banks, review for errors
- Change homeowner status’ and produce new billing
- Process builder escrow checks and record on spreadsheet
- Process clubhouse and ARC checks
- Post charges to homeowners’ accounts
- Enter and deleted ACH homeowner information
- Handling homeowner and board inquiries, email, and phone
- Monthly:
- Manage HOA billing
- Run homeowners’ billing process in system
- Create and send data files to outsourced statement producer following late fees schedules
- Review statement proofs for approval or changes
- Process builders’ assessments and billings
- Reconcile escrow spreadsheets
- Initiate ACH draft of homeowners’ accounts several times a month
- Annually:
- Set up billing in system for new year from budgets
- Other:
- Projects as assigned
- Will be cross trained to provide coverage for the accounting team
- Coverage will include AP, Closings, Resales and Collections
- Skills & Requirements
- MUST have the ability to pay attention to detail
- General ledger knowledge a plus
- General Keyboarding skills
- Able to meet deadline and communicate effectively
- Excel knowledge
- Accounting degree or 2 year work experience
- CINC software knowledge is a plus
