Job Title Office Manager (Ft Johnson/DeRidder)
Location: Ft Johnson/DeRidder
Position Summary
Directly responsible to the Center Director for the overall operation of the Center office including actively recruiting students for Upper Iowa University by coordinating and making regular visits to businesses, military facilities, community organizations, and other institutions. Responsible for assisting students with total admission process and maintaining a quality work atmosphere.
Is responsible for the development and maintenance of smooth operating procedures for Center support functions. Primary responsibilities include timely assistance with total admissions process, registration requirements, report submission, and Center record keeping. Emphasis is placed on attending to students, faculty and staff needs, and requests. This position is non-exempt.
Position Responsibilities
Office Management
  • Serve as the initial interface for the Center with partnership institutions, education centers, faculty and other stakeholders.
  • Receive visitors and help current, new and prospective students with requests and questions.
  • Provide general receptionist and clerical duties.
  • Maintains and manages term files in coordination with the Center Director.
  • Maintain student & faculty database as assigned.
  • Order, maintain and monitor use of office supplies required for Center operations and support of faculty.
  • Maintain an office inventory system for letterhead, envelopes, brochures, bulletins and order as needed.
  • Maintain office equipment (e.g., computers, copier, fax, telephones) to ensure satisfactory daily operation—contact repair personnel as required.
  • Maintain Center literature boards.
  • Train work studies and temporary help as appropriate.
  • Perform other duties as assigned by the Center Director.
Customer Service
  • Ensure a culture of superior customer service through example and encouragement.
  • Maintain superior customer service as a competitive advantage.
  • Professionally represent Upper Iowa University to internal and external customers, including students, prospective students, companies, organizations, faculty, and UIU centers and locations.
  • Provide prompt responses to email, voice, and other mail to ensure timely follow up and outstanding service to all customers.
    Registration
  • Provide student support in the registration process (registration cards, myUIU, MyCAA, ArmyIgnited).
  • Assist students with drop/adds and course withdrawals, ensuring students understand refund policies for withdrawals and any implications on financial aid.
  • Prepare and maintain class rosters and attendance sheets making appropriate additions and deletions as needed.
  • Monitor center and online attendance weekly and follow up as needed. Coordinate with Center Director or Enrollment Coordinator to initiate administrative withdrawals in accordance with UIU policy.
    Term Responsibilities
  • Prepare faculty mailboxes each term.
  • Provide faculty support, including assistance with photocopying needs.
  • Distribute Student Evaluation of Instructor forms, and tabulate results.
  • Distribute and collect graduation applications and prepare appropriate reports.
Enrollment Management
  • Immediately follows up on all leads with phone calls, and establishes a process to maintain all leads, follow-ups via email, phone call, or letter, with the mindset that all leads are good leads until the prospect specifically state s/he is no longer interested.
  • Advises prospective students about financial aid availability, loan options, veterans and total military family benefits, company tuition reimbursement and other financial aid options.
  • Maintains constant communication with the Fort Johnson Center Director to report activities and outcomes during each contact and/or visit.
  • Maintains accurate detailed events in JRM calendar while recruiting at college fairs, military fairs, trade shows and other appropriate venues.
  • Represents UIU at community events in an effort to grow enrollment and identifies opportunities/niches for Center and UIU growth.
  • Collaborates with other UIU team members on university-wide recruitment and retention initiatives including, but not limited to: virtual events, orientations, and initiative working groups
  • Maintains a working knowledge of current degree program policies, major content, and transferability of credits including CLEP, ACE, and DSST.
Collaboration
  • Coordinate administrative activities to support the Education Services Officer (ESO) and academic team.
  • Promotes UIU by supporting the organization’s mission, vision, and goals.
  • Attends the weekly staff meetings, assists with center open houses and events, and other center activities.
  • Works collaboratively with the Center Director, Enrollment Coordinator and other university admissions teams, and the campus support offices (Registrar, Business Office, and Financial Aid Office) to assist learners.
Qualifications
  • Thorough knowledge of general office practices and day-to-day procedures of the Center Office.
  • Excellent customer service skills including the ability to work effectively with students, faculty and the general public.
  • Detail-oriented and capable of handling multiple duties and tasks simultaneously.
  • Appropriate computer skills (e.g., Microsoft Office Suite).
  • Associate degree or related applicable experience.
  • Must Be Present and available to work.
  • Experience in marketing and sales preferred.
  • Knowledge of non-traditional, adult student learning theory and motivation
  • Keen attention to detail
  • Willingness to work flexible schedules, including some evening hours and weekends.
  • Willingness to travel often within the Ft Johnson and DeRidder metro areas.
  • Must possess a valid driver’s license.
  • Professional accomplishments that reflect self-motivation, initiative, independence, and strong customer service orientation.
