Position SummaryThe HOA Manager manages the pre-closing and post-closing process as it relates to Home Owners Associations across the company.
Duties & Responsibilities
  • Document Execution.
    • Collaborate with counsel in preparation, execution and recordation of all creation documents (CC&R's, By-Laws, Articles of Incorporation).
    • Manage and review preparation of Deeds and Annexation documents.
    • Work with legal counsel to understand and include all relevant disclosures in HOA Documents.
  • Budget Creation and Funding.
    • Establish maintenance vendors, request proposals, and finalize contracts for all needed common area maintenance.
    • Establish annual budgets and recommend assessments.
    • Review and approve invoices and address concerns.
    • Manage funding needs.
  • Boards/Architectural Review Committee(s).
    • Establish and manage members.
    • Sit on all HOA Boards and attend and partake in all meetings.
  • Oversight of HOA Management Companies and Ongoing HOA Management Items.
    • Request and analyze competitive proposals and set up contracts.
    • Monitor performance and take appropriate action to correct.
    • Effectuate turnover to residents.
    • Conduct community inspections to ensure compliance.
    • Ensure timely preparation and review all reports, tax filings, audits, and other required reporting per applicable regulations.
    • Review PUD and Improvement Districts.
    • Ensure insurance is secured for common areas.
    • Update internal tracking systems.
  • Additional duties as required.
Requirements
  • A degree in a related field, or two years of HOA, Property Management and/or related experience.
  • Two years of experience working in an office environment.
  • Proficient in Microsoft Excel, Microsoft Word, Outlook, and Adobe.
  • Excellent communication, organization, time management, and analytical and critical thinking skills.
  • Ability to execute well and thrive in a fast-paced environment.
  • Maintains a positive attitude and has the ability receive direction and coaching.
  • Willingness to "go the extra mile" to achieve goals and objectives.
  • Ability to hold a traditional work schedule in office.
Preferred Qualifications
  • Bachelor's Degree in related field, or three years of hands-on HOA management experience.
  • Minimum of three years of experience working in the property management or homebuilding industry, preferably in Land Acquisitions and Development.
  • Three years’ experience overseeing HOA's and public report preparation for a major homebuilder.
  • Strong overall real estate acquisition and development knowledge with an emphasis on community relations and management. Real Estate paralegal background is preferred.
  • Certification in Property and/or Owner’s Association Management
Physical Demands
  • Lifting up to 20 pounds occasionally and up to 10 pounds frequently.
  • Frequently sitting for long periods of time.
  • Walking or standing occasionally.
  • This position works mostly indoors going outdoors may be frequently required.
  • Must have manual use of hands and vision to use computer constantly.
