Position Summary

The Fleet Operations Manager will be responsible for the strategic management and day-to-day operations of our fleet, ensuring optimal performance, safety and compliance, and efficiency. This role demands a strong background in dispatching, DOT compliance, and financial management, as well as expertise in team leadership and operational strategy.This position involves managing drivers and a small team of internal dispatchers.

Qualifications

  • Associates or bachelor’s degree in a related field of study
  • Minimum of 5 years’ experience in fleet management, with a strong background in dispatch operations including booking loads
  • Proven financial acumen, with experience managing budgets and controlling operational costs
  • Valid Commercial Driver’s License (CDL-A) is required
  • A working knowledge of DOT regulations on logbooks, safety standards, and industry best practices
  • Proficient with fleet management software and systems
  • Intermediate knowledge of Google Suite; intermediate Microsoft Excel experience is an advantage
  • Experience in utilizing AI in the workplace is an advantage
  • Comfort and ability to adapt to new technologies is required
  • Strong problem-solving skills and the ability to make decisions under pressure
  • Excellent leadership and management skills
  • Excellent organizational, communication, and interpersonal skills

Key Responsibilities

  • Dispatch Strategy and Execution: This position is the Captain of the ship when it comes to dispatching strategy, booking loads, scheduling loads, and ensuring on-time pick-ups and deliveries. The mantra is “Make it make sense.” Motor Supply runs a mix of dedicated and spot freight, both of which should run optimally, meeting revenue and rate per mile [rpm] targets.
  • Route Planning and Optimization: Paying close attention to details is crucial. Unnecessary miles and poor HOS planning are rpm killers. The Fleet Operations Manager must ensure dispatchers and drivers are planning efficient routes, maximizing HOS, keeping accurate ETAs, and meeting appointment times.
  • Oversight of Dispatch Administration: Paperwork and digital records are a necessary component of trucking. Motor Supply has administrative dispatch assistants for handling load-related documents. The Fleet Operations Manager must ensure this task is being done consistently and correctly.
  • Driver Management and Training: Drivers are the cornerstone of trucking. This position is responsible for driver oversight including: performance, adherence to safety and compliance, bonuses and compensation adjustments, and driver morale. The Fleet Operations Manager should expect, from time-to-time, to train drivers on certain aspects of their performance such as HOS management, company procedures, and use of company resources and tools (e.g., fuel cards).
  • Client and Broker Relationship Building: This is the glue between the business development team and loads being delivered. The Fleet Operations Manager will be in day-to-day contact with Motor Supply’s direct clients and brokers who are friends of the business. An absolute key task of this position is working with our direct clients to problem-solve, schedule pick ups and deliveries, create the most cost effective strategy for their freight needs, and keep them updated on the progress of their loads.
  • Coordination with Fleet Maintenance Manager: Motor Supply’s goal is to minimize the impact of maintenance work in delivering loads on-time and overall volume of loads able to be delivered. The Fleet Operations Manager will need to coordinate with the Fleet Maintenance Manager to schedule maintenance around a driver’s work.
  • Coordination with the Safety and Compliance Team: Safety is #1; above all else. Every Motor Supply team member is expected to embrace this core value and consider safety as part of their responsibilities. Practically, the Fleet Operations Manager will take part in Motor Supply’s Safety Council. Compliance is taken seriously as well and this position is expected to maintain an understanding of our drivers’ strengths and weaknesses regarding safety and compliance.
  • Technology: Motor Supply uses a variety of internally developed software and technology to run our operation more efficiently. The Fleet Operation Manager will be expected to utilize and provide feedback on software developed by Motor Supply.
  • KPIs and Budgeting: If you can measure it, you can improve it. The Fleet Operations Manager is fully expected to create, track, and meet performance KPIs and manage the Fleet Operations Budget effectively. Key KPIs tracked from fleet operations are: gross revenue, rpm, and % of deadhead.
