Position Summary: Florida Atlantic University is seeking a Student Affairs Coordinator - Boca Raton, FL Oversees and performs a wide variety of tasks that require ingenuity, resourcefulness, and flexibility in order to serve as a liaison between SHS, Procurement, Controller's Office, and vendors regarding various aspects of purchasing such as creating requisitions and purchase orders, placing orders, purchase tracking, delivery, processing invoices, payments and check requests. Responsible for Student Health Services reconciliation and check deposit process for payments for medical and dental services, medical records and other services. Assists with financial transactions including processing journal entries. Assists staff with processing spend authorizations, expense reports, and other purchasing needs. Maintains and organizes inventory for emergency supplies, general office supplies, key assignments, card access, technology for laptops and department cell phones including laundering and ordering lab coats and other items. Supports administration office operations by taking meeting minutes, responding to inquiries/processing compliance transactions for student health insurance and immunization compliance, and supporting search committee activities for vacant positions. Assists with personnel activities such as onboarding, tracking departmental professional development, tracking required staff training and meeting attendance, personnel files. Supports SHS departmental events like tabling, flu clinics, retreats, and professional development. Responsible for supporting Owls Care Health Promotion, Counseling & Psychological Services (CAPS) along with Student Health Services for all OPS recruiting, hiring, extensions, terminations, data changes, and timekeeping. Supporting special clinical and related programs for Student Health Services. Assists with departmental assessment and strategic communication and outreach activities. Serves as needed to provide clinic front desk coverage to greet patients upon arrival, check appointment status, verify eligibility and insurance, complete check-in/out procedures, verify that confidential documents are updated in EHR, answer in-person and telephone inquiries, collect and review documents to determine compliance, and file and scan documents as necessary while always maintaining the confidentiality of medical records and patient personal health information. Participates in institutional, divisional, and department-wide events as required. Complies with federal, state, and university regulations and statutes, as well as internal policies and procedures. Works to foster and maintain a collaborative, engaging, and positive work environment for all students and staff. Participates in assessment, accreditation, quality improvement, and regulatory compliance. Participates in activities, both internal and external to SHS, in order to champion the health of the college student population, advance the mission of SHS, and support the missions of the Division of Student Affairs & Enrollment Management and Florida Atlantic University.
