Job Overview:
We are seeking a Front Desk Receptionist to join our team. The ideal candidate will be responsible for handling front office reception and administration duties, including greeting guests, answering phones, handling company inquiries, sorting and distributing mail, and handling banking deposits. Your role will be pivotal in creating a positive impression and maintaining efficient communication between clients, agents, and other staff members.

Duties:
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen, and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material
- Provide basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
- Maintaining Confidentiality by handling sensitive information with utmost confidentiality and discretion, respecting clients' privacy and adhering to data protection regulations.
- Order front office supplies and keep inventory of stock

Experience:
The ideal candidate should possess some of the following skills:

- High school diploma or equivalent; additional certification in office administration or relevant field is a plus

- Real estate administrative experience is a plus

- Familiarity with real estate terminology, practices, and procedures is advantageous.

- Proficient in phone etiquette

- Experience with order entry or clerical work

- Strong proofreading skills

- Ability in calendar management and scheduling appointments

- Capable of project coordination tasks

- Strong administrative skills

- Proficiency in using office equipment such as computers, printers, fax machines, and multi-line telephone systems

- Proficiency in basic computer software (e.g., Microsoft Office Suite, email, and internet navigation).

- Ability to remain calm under pressure and handle challenging situations with tact and diplomacy.

- Flexibility to adapt to changing priorities and work schedules, including occasional evenings or weekends

- A positive attitude, team-oriented mindset, and a willingness to learn and grow in the role
