Hartman Dental Associates is Hiring a Patient Coordinator Near Albany, IN

Position Title: Patient Coordinator

Reports To: Office Manager

Job Summary:

The Patient Coordinator oversees all patient relationships. The Patient Coordinator spends equal parts in high profile patient interaction and doing desk work. Successful candidates must be able to perform all essential duties, must possess all listed knowledge/skills/abilities, education/experience, and certifications/licenses, and must be able to meet and adapt to the listed physical and environmental requirements.

Essential Duties:

· Manages new patients:

  • Takes new patient calls
  • Greets new patients
  • Conducts new patient office tours when appropriate

· Explains office policies to patients.

· Prepares and explains specialist referrals to patients. Helps schedule referred appointments when necessary.

· Sends and requests patient records to and from other sources when necessary.

· Contacts patients after appointments according to office protocol.

· Manages in-office promotions that are geared toward scheduled patients. Creates an exciting and dynamic schedule of activities to keep patients engaged and feeling appreciated. NOTE: The Patient Coordinator is not responsible for any promotions or campaigns where participation extends beyond the office into the community or on social media. These are the responsibility of the marketing department. Differentiate between the coloring contest, Sparkler giveaways, Mardi Gras beads, guessing the weight of a pumpkin, etc., which are the responsibility of the Patient Coordinator, VS. 5K race promotion, school supply drive, candy buy-back, etc., which are the responsibility of the marketing department.

· Changes seasonal décor.

Additional or different duties may be assigned occasionally at employer’s discretion.

Special Requirements/Certifications/Licenses:

· Fluency in Spanish may be a plus but is not required.

Knowledge/Skills/Abilities:

  • Knowledge of English composition, grammar, spelling, and punctuation.
  • Skilled in the use of standard office equipment including: telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Dentrix, various third-party sites and programs).
  • Ability to maintain composure and professionalism when exposed to stressful situations.
  • Ability to work cooperatively with management, staff, and patients.
  • Ability to prioritize, organize, and complete tasks in a timely and independent manner.
  • Ability to understand and follow written and verbal instructions and accept constructive criticism.
  • Ability to collect data, establish facts, draw valid conclusions, and maintain confidentiality.
  • Ability to communicate and express thoughts and ideas competently.
  • Ability to quickly grasp relevant concepts regarding duties and responsibilities.

Education / Experience:

  • High school diploma or equivalent is required.
  • 1 years experience in the dental field

OR

1 years experience in a marketing, advertising or communications position and some experience in the dental field.

  • Experience with Dentrix may be a plus but is not required.

Physical and Environmental Requirements:

  • Active movement throughout the day: sitting, walking, standing, squatting, bending, stooping, reaching, etc. (not a sedentary position).
  • Vision: able to efficiently operate a computer and telephone system.
  • Hearing: able to satisfactorily communicate with patients, doctor, and other staff members to ensure that verbal communication is clearly understood, both in person and by telephone.
  • Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or operate equipment.
  • May be required to administer first aid or CPR.
  • Exposure to hectic, fast-paced, high anxiety environments.

Job Type: Full-time

Pay: $16.00 - $20.00 per hour
