GENERAL STATEMENT OF DUTIES: Provides a point of contact for the school
community, interacting with families, volunteers, parish members, and community
members. Provides administrative support, skilled secretarial services and
coordinates the school office. Maintains an orderly work environment that serves the
school board, school administration, teaching staff and students.
SPECIFIC JOB SKILLS, EDUCATION AND/OR PREFERRED EXPERIENCE:
● 5 years of related office experience
● Proficient with general office procedures
● Proficient with computer – Internet, Google, and Microsoft Office
● Proficient with general office equipment
● Able to be discreet and maintain confidentiality
● Professional verbal and written communication skills
● Strong organizational skills
● Attitude of helpfulness
● Flexibility with changing priorities and processes
● Able to remain calm under pressure while handling common inquiries,
complaints, or identifying emergent situations
● Ability to work well either alone or as part of a team
ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES:
● School Support
○ Serves as office receptionist; answers and responds to telephone
and in-person inquiries from students, parents, and the public.
Receives, sorts, and distributes mail; prepares outgoing items for
mailing.
○ Provides basic first aid care to ill or injured students; calls parents
and arranges for transportation home as necessary; administers
medication as authorized; completes accident reports.
○ Registers incoming students and processes
enrollment materials; enters data on computer; requests
data from other school as needed. Assists in process of
withdrawing students from the school.
○ Works in collaboration with the teachers and principal to support
communication with parents.
○ Coordinates with public school transportation department, orders
buses for field trips, assists students at the beginning of the
school year with bus transfers
○ Organizes supplies and materials, orders as necessary
○ Assists with arrival and dismissal duties
● Financial Management
○ Receives monies for student activities; counts money and
prepares deposit slips; documents and maintains records of
deposits.
○ Maintains records of tuition payments, prepares monthly tuition
statements, communicates with parents regarding payments
and non-sufficient fund checks as needed.
○ Documents and maintains records of tuition assistance.
○ Processes applications for the Free and Reduced Lunch program;
explains program to parents
○ Maintains records of memorial gifts, mails tax documents, and
writes thank you notes.
These duties are not all-inclusive. Other duties may be assigned.
JOB SCOPE: Position encounters variations in work situations and questions.
Incumbent operates under general directions and instructions, performing
with moderate supervision.
COMMUNICATION/CLIENT CONTACT: Contacts are normally made inside
and outside the school. Contacts frequently contain confidential/sensitive
matters.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is required to stand,
walk, talk, reach, sit, hear, handle and perform repetitive motions of the
hands/wrists. Lifts and moves items up to 20 pounds.
WORKING ENVIRONMENT:
Work is performed in a small office setting. Employee may
be required to attend an occasional evening meeting and
do extensive close computer work.
