Patient Care Coordinator Position - Plastic Surgery and Medspa Office

At Charles Chalekson MD—Plastic and Reconstructive Surgery, we pride ourselves on our dedicated team of professionals, which includes a Board Certified Plastic and Reconstructive Surgeon with over 20 years of experience, a Physician’s Assistant, an Aesthetic Registered Nurse who is a master injector, and a Medical Aesthetician. Job Responsibilities:

  • Entrepreneurial Enthusiasm: Take an entrepreneurial approach to managing opportunities, including prospecting for leads, setting appointments, generating referrals, and conducting strategic marketing planning.
  • Primary Liaison: Serve as the primary liaison between patients, their families, and our office, offering support and guidance throughout their experience.
  • Consultative Guidance: Identify and facilitate ways for patients to achieve their aesthetic goals through a consultative approach.
  • Patient Support: Address patient needs throughout their aesthetic journey, providing reasons and motivation for them to return for additional services.
  • Exceptional Experience: Deliver an exceptional experience for every prospect and patient, demonstrating a commitment to excellence.
  • Communication and Documentation: Reply to inquiries and phone calls promptly, document patient information accurately, and provide regular status updates on leads and opportunities.
  • Consultation Assistance: Accompany providers during consultations when necessary, discuss medical history, expectations, budgets, recovery, and preparation for successful consultations, surgeries, or treatments.
  • Knowledge and Promotion: Be knowledgeable about plastic and aesthetic treatment options, promote our office, surgical procedures, and medspa treatments/products, and inform patients accurately.
  • Office Presence: Maintain a warm, friendly, and positive presence in the office.
  • Financial Transactions: Discuss quotes, collect fees, and ensure all necessary documentation is accurate and complete.
  • Patient Experience Management: Anticipate, assess, and drive the patient experience to achieve high conversion rates and patient satisfaction.
  • Professional Development: Continuously build and enhance Patient Care Coordinator skills.
  • Compliance: Follow HIPAA policies to ensure patient privacy and comply with OSHA policies and procedures.
  • Social Media and Marketing: Utilize social media and marketing skills to benefit the office.
  • Insurance Liaison: Advise patients on office insurance policies and act as a liaison between patients and the insurance coordinator.
  • Team Collaboration: Work as an integral team member to develop and implement protocols, policies, and procedures to enhance the overall patient experience and ensure optimal care delivery.

Qualifications:

  • Bachelor’s degree preferred.
  • 3 years of successful service industry experience; excellent concierge-level service sense.
  • Prior experience in Plastic Surgery, Dermatology, or a Medical Spa.
  • Strong verbal and written communication skills, comfortable with phone calls, adept at emotional engagement, active listening, skilled at crafting effective emails, and live presentations.
  • Patience, positivity, flexibility, problem-solving skills.
  • Knowledge of medical terminology preferred; patient confidentiality required.
  • Professional image and attitude.
  • Excellent organizational skills.
  • Passionate about educating and selling to patients seeking to improve their appearance.
  • Highly skilled in identifying business challenges and providing effective solutions.
  • Team-oriented with a desire to develop lasting professional relationships.
  • Quick to learn and apply new concepts.
