Are you a skilled construction administrative assistant with excellent organization and communication skills? If so, we’d love to talk! We are looking for admin support to help us talk with clients, work with vendors and subcontractors to schedule work. Previous experience in the industry is helpful, but not required. Compensation:

$18 - $20 hourly

Responsibilities:
  • Field incoming emails and phone calls in a professional manner
  • Schedules 30-day and 11-month walks with homeowners and updates Warranty Techs’ calendars
  • Schedules QC walks and adds appointments to QC Inspectors’ calendars
  • Confirms walk appointments with homeowners
  • Schedule work days and work orders with vendors and techs, coordinating multiple calendars with homeowners
  • Responsible for appointment reminder calls and texts to homeowners and vendors
  • Ensures vendors show up on time and prepared and that work is completed
  • Ensures that all items on warranty tickets are completed so that all tickets can be closed within 30 days of walks
  • Reschedule appointments as needed
  • Serves to back up Warranty Coordinator
  • Responsible for maintaining calendars for all Warranty Techs and QC Inspectors
  • Responsible for making sure all Warranty Tickets are brought to 100% completion within 30 days of ticket opening
  • Responsible for maintaining the VOIP phone system, call routing to Warranty Techs and Vendors and routing of emergency calls
  • Flexible to perform other duties as assigned
Qualifications:
  • Great organization, time management, and communication skills are vital
  • Strong computer skills, especially MS Office (Word, Excel, and Powerpoint) are needed
  • An understanding of the construction industry is preferred, but not required
  • A high school diploma is required - additional college is desired
  • 2 years relevant experience in scheduling, dispatch, project management, or a similar role
  • Ability to quickly become an expert user of technology and software
  • Strong sense of urgency
  • Ability to hold vendors accountable to high standards
  • Places a high expectation on their own performance and the performance, professionalism and promptness/responsiveness of vendors
  • Ability to thrive in a fast-paced, demanding environment
  • Exceptionally well organized with a high level of attention to detail
  • Commitment to excellence and world-class service
  • Ability to communicate pleasantly, effectively and professionally on the phone
  • High School Diploma
  • Ability to speak Spanish is a plus
