Schedule: Hybrid, Monday to Friday (8:30am-5:00pm)

Summary:

The Data Analyst works under the direction of the Director, Data Management and Performance Improvement, in meeting Heartland Human Care Service (HHCS) data strategy objectives related to organization performance management and program quality. This role leads administration, reporting, training development, and analysis related to organization performance data collection and quality in the performance management system (ESM Strategy), applicable survey platforms (Microsoft Forms, Survey Monkey, Alchemer), and select program funder compliance requirements. This role collaborates with the CMS Salesforce Analyst in improving timely participant data collection through data quality monitoring processes and development of learning resources. This role is responsible for internal requests related to participant data in the centralized data system, Salesforce.

The Data Analyst leverages industry knowledge and best practices to promote the mission and vision of Heartland Human Care Services. Supports culture development and management efforts. Individual accountabilities and work volume are established through the development of annual Success Objectives, within the framework outlined below. The Data Analyst reports to the Director, Data Management and Performance Improvement.

Essential Functions:

Duties & Responsibilities

  • Creates reports and conducts analyses from organization’s data collection systems, including the centralized CRM database (Salesforce), the organization’s strategic performance management system (ESM Strategy), and survey applications (Microsoft Forms, Survey Monkey, Alchemer) to support the Operations Department in meeting HHCS’ data quality and performance improvement goals and applicable funder compliance requirements.
  • Runs queries in data collection systems to gather needed data, connect data sets, and utilize methods to analyze, compile, and present data in understandable formats for internal management and organization use.
  • Leads the development and maintenance of dashboards, program and department performance tracking, and reporting related to progress and insights to inform quality improvement.
  • Monitors data quality and works with the Director, Data Management and Performance Improvement to develop and implement strategies and processes to improve data quality as needed.
  • Collaborates on development and facilitation of trainings and meetings related to data collection systems, data quality monitoring, program performance, and outcomes analysis.
  • Works in collaboration with the CMS Salesforce Analyst to develop and maintain data collection system learning resources, lead learning sessions, and document procedures related to data collection, management, and reporting processes.
  • Coordinates administration of and conducts analyses of the HHCS Annual Participant Survey in conjunction with the Quality Improvement Committee
  • Coordinates and communicates reporting timelines to internal stakeholders to ensure timely reporting for HHCS.
  • Reviews Operations Department reporting processes to identify efficiencies that will streamline reporting efforts.
  • Provides executive summaries of key data points to leaders as needed.
  • Conducts user acceptance testing (UAT) to ensure proper functioning of data systems when changes are implemented.
  • Troubleshoots basic technical problems related to data entry and reporting within database systems used by the Operations Department.
  • Performs other duties as assigned.

Education and Experience:

  • Bachelor’s degree in Statistics, Data Science, Data Analytics, Business Management, or related discipline
  • Two years of relevant experience independently conducting data management, data analysis, or data science initiatives
  • Two years of experience independently managing data cleaning, quality monitoring, data visualization, program evaluation, data system training facilitation, project management, and technical writing preferred.
  • Demonstrated project management skills and confidence presenting data summaries to various audiences and tiers across the organization.
  • Previous human services, NPO, or case management experience a plus.

Knowledge/Skills/Abilities:

Technical Skills: Intermediate to advanced level of proficiency with Microsoft Outlook, MS Word, Excel, and PowerPoint is required; experience managing and manipulating large sets of data using Excel preferred; experience with Salesforce, ESM Strategy, Adobe; and other software routinely used by Heartland Human Care Services a plus. Comfortable with remote meeting applications, such as Microsoft Teams and Zoom. Meticulous attention to detail.

Language Skills: Ability to read, analyze, and interpret general business documents and technical procedures. Ability to write reports, business correspondence, and operating procedures. Ability to effectively present information and respond to questions from internal stakeholders and all levels of staff and management.

Relationship Management: Communicates purposes, goals, timelines, and strategies clearly; Ability to work independently in a diverse workplace and within a dynamic environment; Ability to plan and execute training for users in all positions. Excellent interpersonal skills (collaboration, communication, receptiveness). Experience working autonomously and in-group settings. Work Arrangement:

Must have a remote space to work from home, and able to participate and engage in virtual meetings. Laptop and access to Teams environment will be provided by Heartland. Required to attend appointments and meetings in person as requested.

  • The noise level in the work environment is usually moderate.
  • Program sites are located throughout the Chicago area, including the North and South sides of Chicago, as well as the suburbs. Employees may be required to report to any one of our locations on a temporary or permanent basis.
