The Faison Center is Hiring a Program Manager - Adult Day Near RICHMOND, VA

Description

General Description 

To provide program administration and oversight, including staff supervision and training, staff and client scheduling, and compliance activities to Faison’s Day Support Program 

Essential Core Responsibilities

Supervision and Performance Management – 50%

  • Supervises and ensures highly-trained, proficient, and motivated staff of CSCs for assigned program location by participating in selection/hiring activities, conducting behavioral skills training (BST) and ongoing development which includes staff monitoring, in-situ observations, coaching, feedback, providing daily work flow, and assisting with training 
  • Provides staff with frequent, constructive feedback
  • Communicates clear expectations related to goals of program
  • Ensures ongoing, proper implementation of active treatment and other Individual Support Plan (ISP) components by monitoring the activities of other staff (e.g., treatment integrity), following up when data are inconsistent, incomplete, reveals lack of progress or otherwise needs revision (e.g., inter-observer agreement)
  • Addresses and documents staff performance issues as they occur 
  • Reviews and communicates safety issues with staff to assure a safe and healthy workplace

Administrative Activities – 35%

  • Creates and manages staff schedules and resource allocation
  • Creates and manages client support schedules based on individual ISPs
  • Assists in ensuring the safety, security, comfort and rights of persons served by responding to calls and requests for assistance, and using sound judgment to react to unplanned and emergency situations
  • Documents care/assistance provided, behavior management and teaching techniques implemented and compliance with various health and active treatment standards through accurate and timely completion of progress notes, checklists, records, schedules, and billing information if applicable
  • Maintains correspondence with parents/caregivers, support coordinators, and other treatment team members
  • Organizes and plans scheduled activities and coordinates with volunteer organizations
  • Manages the Medication Administration system (e.g., Quick MAR) and ensures all medications with active ingredients are properly acquired, stored, and administered as prescribed according to Faison Center policy and procedure and any State or Federal Regulation
  • Oversees and responds to internal file audits, through review of client folders to ensure required information is current, accurate, and on file
  • Coordinates with Case Managers/Support Coordinators in scheduling and ensuring completion and submission of ISP documentation and any other correspondence that facilitates high-quality service delivery in a timely manner
  • Coordinates with Director and/or Behavior Analyst on enrollment of individuals into the program, including new admission and intake process 
  • Assists with comprehensive assessment on individuals upon enrollment and on a schedule thereafter
  • Monitors and ensures the maintenance of essential assets and work-related resources (e.g., vehicle maintenance, technology, emergency supplies)
  • Participates in and completes assigned trainings and implements procedures as outlined in training materials; completes all assignments related to mandatory trainings
  • Ensures required staff training is completed and documented appropriately 
  • Accesses resources appropriately to ensure the health and safety of individuals served
  • Maintains compliance with applicable federal and state regulations, and Faison policies and procedures (e.g., performance on internal audits). If assigned, serves as the Qualified Intellectual Disabilities Professional and liaison for all matters affecting persons on caseload during program evaluation and regulatory reviews
  • Implements emergency protocols as needed (e.g., fire drills, missing person, inclement weather, etc.)
  • Together with Director, manages petty cash and program finance (e.g., gift cards, gas card, receipts, etc.)

Case Management – 15%

  • Effectively and efficiently manages a caseload (e.g., identify ISP outcomes, monitoring progress, modifying care plans, training staff, writing reports, etc.) from intake to discharge and completing all documentation in a timely manner and/or delegating as appropriate 
  • Completes required documentation (e.g., ISP) for assigned individuals in a timely manner
  • Reports progress towards individual program outcomes through the completion of quarterly reviews for assigned individuals 
  • Monitors progress on ISP outcomes and meeting with the clinical team to evaluate progress and modify outcomes and procedures at least monthly
  • Ensures service delivery information and timekeeping is appropriately recorded; submits billing information to Director in a timely manner
  • Participates in the ISP planning process by attending staff and team meetings, ISP meetings, and contributing to the development of person-centered ISP outcomes. 
  • Provides oversight of service tracking including specific services rendered, frequency, provider, and other related information
  • Provides directs support as needed, following guidelines outlines in CSC job description form. This includes but is not limited to: service delivery, transportation, activities of daily living, and medication administration.

Requirements

Experience Requirements

  • One – two years of prior experience in a position of similar scope, preferred
  • Ability to supervise and motivate a team of staff
  • Ability to communicate through verbal and written mediums
  • Ability to observe, ask questions, listen actively, and give and accept feedback effectively
  • A high energy level, adaptability, assertiveness, patience and ability to work in a team environment
  • Operation of a motor vehicle is required which includes proof of a valid drivers license, an ability to maintain automobile liability insurance as required by state law in Virginia and an ability to qualify as a driver under Faison insurance guidelines

Education Requirements

  • High school degree or equivalent required
  • Bachelor’s degree preferred

Essential Physical Requirements

  • Lift 50 pounds 
  • Bend at all joints fluently
  • Move in and out of and maintain a kneeling position for up to five minutes
  • Reach in all directions
  • Grasp using both hands 
  • Move quickly in both confined and open spaces to avoid safety issues
  • Run in order to retrieve an individual who is moving quickly away from staff 
  • Maintain balance while lowering to a half squat position
